Summary of Position: This position is vital in ensuring seamless corporate office operations, maintaining confidentiality, providing administrative support to our leadership team, and delivering exceptional customer service to our esteemed clientele.
Responsibilities:
· Manage busy front desk operations, ensuring a welcoming and professional environment during office hours.
· Provide comprehensive administrative support including typing, mailings and maintaining filing systems.
· Maintains effective working relationships with fellow employees, stakeholders, and members of the community.
· Serve as the primary point of contact for office IT support and oversee office duties, including maintenance, supplies, and equipment.
· Coordinate corporate office activities such as meeting scheduling and preparation, catering and employee perks, and supplies management.
· Contributes positively to the company culture through actionable initiatives.
· Ensures all business records and files are accurate, complete and up to date.
· Assist Human Resources in employee onboarding tasks and address employee queries related to office management.
· Provide administrative support to Chief Operating Officer, to include, calendar management, coordinate travel arrangements, prepare documents, and other administrative tasks as assigned.
Abilities, Skills, and Knowledge:
· Minimum of 2 years' of experience in office management, administration, or executive support.
· Strong organizational skills and ability to prioritize tasks in a fast-paced environment.
· Ability to use independent judgement to define problems, collect information, and present valid conclusions.
· Exceptional communication skills, both written and verbal.
· Proficiency in Microsoft Office and other office productivity tools.
· Ability to multitask and meet multiple deadlines effectively.
· Strong commitment to maintaining confidentiality.
· Tech-savvy with a willingness to learn new software and systems.
· Must be available to work nights, weekends, and holidays as needed.
Physical Requirements:
· Ability to sit, stand, stoop, bend, kneel, walk, balance, reach with hands and arms, use fingers and wrists, and talk and hear.
· Ability to lift and move up to 60 pounds.
