Job Description

ThePeople & Development Assistant will primarily support the non-partner lateral lawyer recruiting and talent development teams. The ideal candidate will be a self-starter and highly organized. Previous law firm and/or Workday experience is preferred but not required. This position reports to the Manager, Talent Development in Dallas, Texas. The Assistant can be located in Dallas, Austin, or Houston, Texas and presence in the office may be required from time to time pursuant to the firm's hybrid work policy.Overtime and some travel may be required to facilitate training and attend events.

Lateral Recruiting

  • Coordinate interview logistics, including calendar appointments, conference room reservations, confirmation emails and candidate arrival

  • Enter data in the applicant tracking system (ATS), including applicant status, correspondence tracking, interview tracking, interview feedback and documents

  • Work closely with Recruiting Managers and local office contacts to coordinate onboarding for all new hires

  • Work closely with candidates and compliance team to assist with conflicts clearance process for lateral candidates

  • Enter external recruiting agency/search firm information into Workday and manage agreements

  • Process recruiting expenses, including placement fees and temporary fees

Talent Development

  • Submit expense requests for TD expenses and help manage the department's budget

  • Monitor TD mailbox and forward email requests/questions to appropriate team member

  • Process CLE attendance; maintainrecords in viLMSand state CLE databases; process external CLE requests and act as a point of contact for CLE questions

  • Assist with Talent Development (TD) training program logistics including drafting invitations, tracking RSVPs, booking conference rooms, hotel rooms, working with A/V team members for program setup and recordings, coordinating catering orders, on-site event facilitations, preparing presentation materials and tracking attendance at various programs

  • Maintain recorded programs and materials in LMS

  • Maintain inventory of TD books and other related development materials

  • Compile post-program evaluations and reports

  • Assist with maintenance of electronic program and CLE files in internal document management system

  • Support the TD team with administrative tasks, as requested

Skills and Qualifications:

  • Bachelor's degree preferred

  • Minimum of oneyear of work experience in a professional setting

  • Highly-organized and exhibit a strong attention to detail

  • Strong interpersonal skills including demonstrated ability to be effective in both a group and one-on-one setting

  • Event planning or coordination experience a plus

  • Excellent verbal and written communication skills

  • Professionalism, personal integrity and high degree of confidentiality

  • Strong technology skills, including proficiency in Microsoft Office Suite; LMS experience a plus

  • Strong analytical skills

  • Sense of pride in work, willingness to take responsibility and committed to working as a member of the team

  • Demonstrate excellent client service, serving both internal and external clients

  • Ability to exhibit conscientiousness, dedication, self-discipline and a sense of responsibility

  • Accuracy and responsiveness required

  • Confident interacting with all levels of the organization, both legal and administrative

  • Reliable, flexible and a can-do attitude in all situations is essential
