Position Definition

The Drop-In Center Receptionist provides critical support for the day-to-day operation of the Drop-In Center. As the first point of contact for many youth coming into NPHY, the receptionist is a crucial component to the programs team and overall experience for those entering our doors. The ideal candidate should be well-versed in providing excellent customer service to youth, donors, volunteers, and the public. In addition, the receptionist position requires cultural sensitivity for the populations NPHY serves along with the experience, patience, and integrity to support their evolving needs by leading with trauma-informed strategies at all times. Primary responsibility areas include checking in youth accessing our facility and routing them to the appropriate destination, dedicated telephone communications, messaging and routing, data entry and reception area organization. 

Essential Responsibilities

  • Serve as the face of the agency, providing excellent customer service to all visitors, clients, donors, volunteers and staff.
  • Successfully manage a fast-moving and dynamic environment, adapting to changes with ease and maintaining a positive attitude.
  • Demonstrate exceptional composure under pressure, effectively prioritizing tasks and meeting deadlines.
  • Provide high-quality customer service by actively listening to client and guest needs, addressing concerns promptly, and exceeding expectations.
  • Collaborate with team members to streamline processes and improve efficiency in a fast-paced setting.
  • Stay organized and focused in a dynamic work environment, demonstrating resilience and problem-solving skills.
  • Maintain a pleasant and professional demeanor at all times, representing NPHY with integrity and enthusiasm.
  • Maintain confidentiality of all clients receiving services at NPHY. 
  • Perform a variety of general clerical work including answering telephone inquiries, directing calls and providing basic information for services provided.
  • Ensure sign-in procedures are followed by clients, volunteers and donors. 
  • Perform timely, accurate and complete data entry into agency systems. 
  • Maintain an organized and clean reception area including stocking of relevant brochures and forms for visitors and staff. 
  • Oversee mail deliveries, packages and couriers and inform appropriate parties to ensure timely distribution. Receive donation drop-off’s and coordinate with the Operations Team to ensure appropriate pick-up and processing. 
  • Ensure that the agency’s opening and closing procedures are completed properly.
  • Other related duties as assigned. 

Requirements

  • A minimum of a High School Diploma or equivalent required.
  • Must be at least 21 years of age.
  • Successfully pass a drug-test, criminal background check, and provide acceptable driving record. 
  • Customer service experience required; experience working with homeless youth, youth in crisis, or other youth organization is preferred. 
  • Current and valid Nevada Class C driver’s license and automobile insurance.
  • The ability to arrive on time to all scheduled shifts. 

Qualifications

  • Possess a strong work ethic, be self-motivated and be a team player.
  • Ability to multi-task, prioritize and manage time.
  • Ability to communicate effectively both orally and in writing. 
  • Able to maintain a high level of professional and ethical standards. 
  • Knowledge of Office Suite programs (Word, Excel), internet, and web-based email, as well as software and technology typically found in the workplace. 
  • Ability to learn relevant and applicable software. 
  • Able to be punctual and maintain a schedule.
  • Ability to walk, lift and carry items up to 40 lbs., push, stoop, kneel, and stand for long periods of time.
