Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, be proficient in computer applications, and be able to multitask effectively. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring smooth office management. This is a full-time position, reporting primarily to the Executive Director of Community Living and Facilities. The AA provides essential clerical and administrative support to the Adult Services division.
Responsibilities:
- Provide administrative support to the team, including scheduling meetings, managing calendars, and making travel arrangements
- Coordinate and assist with various projects, ensuring timely completion
- Perform data entry and maintain accurate records
- File and organize documents both electronically and physically
- Assist with order entry and inventory management
- Provide customer support and handle inquiries via phone or email
- Manage office supplies and equipment maintenance
- Assist with general office duties as needed
Experience:
- Proven experience in administrative roles or related positions
- Strong proficiency in computer applications such as Microsoft Office Suite
- Experience with project coordination and multitasking
- Previous experience as a personal assistant is a plus
- Excellent organizational skills with great attention to detail
- Familiarity with office management procedures and basic accounting principles
- Ability to handle confidential information with discretion
- Strong written and verbal communication skills
- Knowledge of phone systems and customer support practices
