POSITION TITLE:Meetings Specialist I, Consolidated Services

STATUS: Full time / Exempt

LOCATION:Chicago, IL (On-site 5-days/week)

The National Council States Boards of Nursing (NCSBN) is an independent, not-for-profit organization through which nursing regulatory bodies act and counsel together on matters of common interest and concern affecting public health, safety and welfare, including the development of nursing licensure examinations. Our mission empowers and supports nursing regulators in their mandate to protect the public. 

JOB SUMMARY

We are seeking a talented meetings support specialist to join our Operations division. The ideal candidate will bring value to our team by coordinating administrative meeting support for NCSBN’s on-site internal, panel, and committee meetings.

Reporting to the Meetings Manager, Consolidated Services, the Meetings Specialist I will provide professional support to various NCSBN departments to help coordinate the administrative responsibilities for on-site NCSBN meetings as well as external conferences.

This role is a great opportunity for an individual aspiring to enhance their meeting support and planning skills, while supporting an organization committed to advancing nursing regulation and policy worldwide!

RESPONSIBILITIES

  • Responsible for ensuring all internal meeting logistics including securing conference rooms, creating Team Chat Channel, ensuring completion of meeting intake form, dietary restrictions, call to meeting, and ensuring travel vendor spreadsheet contains attendee’s names for hotel reservations and airline tickets.
  • Coordinates all catering for internal meetings and set up of breakfast and lunch, such as labeling food and ensuring dietary restrictions are accommodated. Ensures the beverage refreshes at each break. 
  • Coordinates with DirectTravel on internal meeting attendees travel and communicates with meeting host to ensure all attendees have secured airline tickets 30 days prior to travel. 
  • Responds to Zendesk Tickets as they are related to meetings per the internal service level agreement.
  • Assists as needed with external meeting conference logistics, such as shipping, prepping registration packets and creating name badges.
  • Acquires and maintains competent knowledge of relevant products, current support policies, and methods of support delivery to achieve established performance metrics based on standard operating procedures. Makes recommendations for continuous process enhancement.
  • Performs other duties as assigned.

QUALIFICATIONS

  • At least 2 years of professional experience in a similar role.
  • Associate degree preferred.
  • Strong verbal, written, organizational, critical thinking and analytical skills required.
  • Professional interpersonal skills.
  • Attention to detail, adaptability and flexibility in a fast-paced environment.
  • Computer Skills: Microsoft Office suite (Outlook, Word, Excel, PowerPoint); Zendesk Ticketing Application, Cvent, Accelevents, Wufoo.
