Description

Title: People Experience Generalist

Type: Full-Time

Reports to: Director of People Experience

Office Location: 1801 W. Warner, Suite 202, Chicago IL; 

Schedule: Monday – Friday with required in-office minimum of 3 days per week (hybrid work policy subject to change)

Who We Are Looking For:  

The People Experience (PX) Generalist supports NAMI Chicago’s mission by participating in recruitment activities, assisting with the development and administration of programs, procedures and guidelines, benefits administration and performance management. 

Reporting to the Director of People Experience, the People Experience Generalist brings experience in full cycle recruiting, including providing guidance to hiring managers, sourcing candidates, conducting interviews, and tracking and reporting progress. The PX Generalist is well-versed in wellness benefits and education and overseeing performance management processes. The ideal candidate is a self-motivated innovator with sensitivity to mental health issues and strong organizational skills.

Essential Functions & Responsibilities:

Human Resources and Employee Engagement

· Routinely audit internal HR files for accuracy and compliance

· Complete pre-boarding and onboarding requirements and system set up for new hires

· Authenticate I-9 documentation and maintain employment verification records

· Provides professional support for employee relations matters

· Prepare internal employee communications as needed

· Conduct exit interviews

· Assist with PX department research request pertaining to polices, processes, recruitment and/or training

· Assist in the development and facilitation of manager trainings

· Assist with payroll processing in Paylocity

· Assist with change management activities

· Lead employee engagement efforts

· Responsible for maintaining employee files, data entry and updates into the Paylocity HRIS, status changes etc.

· Track, maintain and report on employee training compliance

· Respond to unemployment notices and attend hearings as needed

· Conduct and/or participate in internal investigations as needed

Recruitment

· Conduct recruitment consultations with hiring manager and source candidates by networking, creating, and building relationships

· Conduct interviews

· Work with hiring managers to develop interview scripts

· Source candidates via job boards

· Review, update and maintain job descriptions

· Develop and revise interview tools from screening to final interviews questions

· Negotiate contingent offers and execute offer letters

· Manage recruitment in Paylocity Recruitment module

· Monitor/track job requisition vacancy progress to provide weekly report to leadership 

· Engage and build relationships with community organizations, universities and workforce development centers

· Participate in career fairs

· Lead and host internal NAMI Chicago hiring events

Benefits Administration

· Responsible for day-to-day management of employee benefit programs: medical, dental vision, life, disability and supplemental insurance plans

· Compile and maintain benefit and medical records and documents, beneficiary status updates, new hire enrollment and termination of benefits 

· Serve as the primary point of contact for benefit inquiries

· Manage employee request for medical leaves and accommodation request process

· Audit insurance bills monthly, prepare monthly insurance costs and utilization report, manage insurance compliance requests, and remain up to date on insurance laws

· Send monthly or quarterly reminders about the use of time off benefits.

· Educate new hires and current employees on benefit offerings

· Advise employees on eligibility, coverage and other benefits matters

 

Performance Management 

· Assist in the development of performance management metrics and the annual and midyear calibration process

· Create and disseminate quarterly schedule of due performance reviews

· Review completed performance reviews in Paylocity

· Discuss professional development opportunities and promote and schedule professional development needed by individuals and groups

 

Requirements

Essential Knowledge, Skills and Abilities:

· Ability to act with integrity, professionalism and confidentiality

· Knowledge of labor laws

· Strong internal and external customer service focus

· The ability to manage multiple priorities simultaneously – oriented on results

· Ability to diagnose problems and identify and drive appropriate solutions

· Ability to use qualitative and quantitative data to make informed decisions

· Excellent written and verbal communication skills

· Passion for innovative HR solutions and process improvement

· Familiarity with internet sourcing skills, such as Boolean search and experience with some of the following: LinkedIn Recruiter, Indeed or other job boards

· Ability to manage ad-hoc projects along with day-to day responsibilities and meet deadlines

· Perform other duties as assigned

Qualifications & Requirements:

· Education: Bachelor’s degree in human resource management or equivalent experience.

· 3-5 years of professional experience in Human Resources 

· Strong generalist background with knowledge of legal compliance, employee relations, payroll, change management and full lifecycle recruitment

· Proficient use of HRIS systems, knowledge of Paylocity software

· Communicate effectively at all levels

· Computer Skills: Proficiency in Microsoft Office Suite, Internet Explorer, Outlook/Exchange; Windows operating systems; and other software routinely used by NAMI Chicago
