Job Title: Accounting & Payroll Assistant

Job Description:
We are seeking a dynamic and organized Administrative Assistant to join our team. The ideal candidate will have a diverse skill set, including proficiency in QuickBooks Online, familiarity with payroll taxes and software (e.g., ADP Run), basic knowledge of Shopify, and the ability to manage various administrative tasks.

This role requires excellent organizational skills and the capacity to streamline office processes effectively. Additionally, the candidate should possess basic experience in accounts payable and inventory management. The Administrative Assistant will also collaborate with our accounting firm, interact with different departments such as Customer Service, Fulfillment, and Operations, and must be bilingual in English and Spanish.

Qualifications:

  • Associate or Bachelor's degree in Business Administration, Finance, Accounting, or a related field.
  • Minimum 3 years of experience in an administrative support role, preferably within a fast-paced business environment.
  • Proficiency in ADP payroll systems and QuickBooks accounting software is essential.
  • Excellent organizational and time management skills with the ability to prioritize tasks efficiently.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Competence in managing financial records, including invoicing, payroll processing, and budget tracking.
  • Familiarity with office management procedures and basic accounting principles.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and with the ability to learn new software quickly.

Key Responsibilities:

1) Payroll and Financial Management:

  • Process payroll transactions in ADP with accuracy and efficiency, ensuring all employees are paid on time and in compliance with company policies.
  • Manage accounts payable and receivable using QuickBooks, including invoice processing and reconciliation of accounts.
  • Assist in budget preparation and expense management activities.

2) Administrative Support:

  • Provide comprehensive administrative support to the team, including scheduling meetings, managing emails, and organizing documents.
  • Facilitate communication within the team and with external partners by managing correspondence and calls.
  • Maintain and update records, databases, and filing systems, both electronic and paper.
  • Usage of Shopify, Quickbooks & ADP.

3) Office Management:

  • Ensure the smooth operation of the office on a day-to-day basis, including ordering supplies, managing office equipment, and coordinating maintenance activities.
  • Assist in planning and coordinating office events and meetings.

4) Reporting and Compliance:

  • Compile and prepare reports related to payroll, expenses, and other administrative activities.
  • Ensure compliance with relevant laws and regulations pertaining to payroll and financial transactions.
  • Manage accounts payable and receivable using QuickBooks, including invoice processing and reconciliation of accounts.
  • Assist in budget preparation and expense management activities.
