The MPowered Business Executive Assistant will perform a wide range of administrative and office support activities to aid the owner and other team members in the efficient operation of the business and to provide world-class service to clients of MPowered Business.

Responsibilities

  • Provides a world-class experience for clients, guests, teammates and associates of MPowered Business
  • Supports client project work including phone calls, communication, meetings, follow up tasks, and reports
  • Recommends, creates and follows standardized checklists and best practices for client interactions
  • Manages business expense documentation and receipt records; customer billing, payments and Accounts Receivable follow-up including sending statements and reminders
  • Serves as the primary contact for MPowered Business to greet and establish rapport with employees, clients, visitors, and all other guests entering and exiting the building.
  • Answers and directs telephone calls, appropriately relays important information promptly and clearly
  • Manages sensitive matters with an unwavering level of confidentiality
  • Maintains a clean and organized office building
  • Manages the owner’s appointment schedule and assists with planning and scheduling business and personal meetings, conferences, teleconferences, as well as coordinating and booking travel arrangements
  • Sends meeting and training announcements and reminders to attendees via software, email, and phone calls/texts
  • Accurately records and updates for each activity and all client requests and assignments.
  • Assists the team with daily administrative duties and clerical tasks
  • Completes a variety of administrative tasks that include composing and preparing correspondence; setting itineraries and agendas; compiling documents for meetings and trainings
  • Prepares for meetings and training events, including printing and organizing meeting materials, keeping track of meeting progress and follow up items, preparing and revising correspondence and other documents
  • Plans, coordinate, organizes various meetings, events, and celebrations
  • Receives and sorts deliveries and mail
  • Maintains offices supplies and other materials, reordering as needed.
  • Picks up items, deliver documents, run errands as requested
  • Supports other owner and team activities, tasks as requested

Requirements

  • High School degree or equivalent
  • A minimum of 3 years work experience
  • Clean driving record
  • Clear background check
  • Proficiency with Microsoft Office, Word, and Excel
  • QuickBooks Certified or willing to become certified
  • Willingness and ability to quickly learn new software
  • Effective organization skills
  • Proven work ethic
  • Strong verbal and written communication skills
  • Good time management skills and ability to prioritize work

Job Type: Part-time

Pay: $8.00 - $13.00 per hour

Schedule:

  • 8 hour shift
  • Day shift
  • Holidays
  • Monday to Friday
