Job Description

Job Title: Accounts Payable Coordinator

Reports to: Chief Financial Officer

Department: Responsible Stewardship

Classification: Part time, 25 hours. Non-exempt

Date: May 2024

Summary/Objective

The Accounts Payable Coordinator is responsible for recording, processing, and reporting all accounts payable transactions for the Conference. In performing these functions, the Accounts Payable Coordinator is responsible for ensuring compliance with laws, appropriate internal controls, and Generally Accepted Accounting Principles. Work is to be conducted in a manner that assists the Conference in achieving its mission and ministries. The Accounts Payable Coordinator proactively and upon request performs vendor and payment analyses to ensure the accuracy of financial reporting, the efficiency of the operation of the Conference programs and activities, and to assist with decision-making.

Essential Duties/Responsibilities

1. Maintain the accounts payable records, including vendor and transaction details, of the Conference within the Conference’s current accounting system to ensure compliance with Generally Accepted Accounting Principles (GAAP) and policies and procedures of the Conference.

2. Maintain Accounts Payable subledger within the Conference’s current accounting system.

3. Maintain schedule of recurring payments and facilitate updates as needed.

4. Provide internal support of the annual independent audit of the Conference’s financial results.

5. Assist vendors, ministry directors, and other stakeholders to ensure timely and accurate processing of accounts payable, provide transparency into the AP process, and maintain exceptional relationships with all stakeholders.

Additional Duties/Responsibilities

1. Assist in preparation of Responsible Stewardship communications and outreach efforts, including but not limited to periodic newsletter, email distributions, and mass mailings.

2. Other duties as they relate to the optimal performance of the Responsible Stewardship team, as directed by the Chief Financial Officer.

Supervisory Duties

None.

Job Qualifications

1. Knowledge, Skills, and Abilities:

  • Experience with fund accounting and other non-profit accounting and reporting requirements.
  • Advanced Microsoft Excel skills.
  • Ability to design reports and complete data analysis after extracting data from the accounting and other databases of the Conference.
  • Self-directed and able to set and meet necessary deadlines.
  • Ability to work with and guide constituents that have limited knowledge in financial systems and procedures.
  • Willing to support departmental programs and tasks that are not directly related to function.

2. Education or Formal Training:

a. Bachelor’s or Associate’s degree or equivalent experience in finance and administration is preferred.

3. Experience:

a. A minimum of three years of experience in project management, accounting, or accounts payable is needed; non-profit experience is desired.

b. Experience in business administration or a related field is desired.

Working Environment

General business and office environment in a hybrid work environment are required.

Collaborative teamwork required.

Excellence in all aspects of job required.
