SECRETARY II

Moses Lake High School

8.00 hrs per day / 190 workdays per year

Shift time is subject to building needs.

SECRETARY II : Performs a wide variety of secretarial, clerical, and bookkeeping duties using independent judgment within generally defined methods, practices, and procedures.

GENERAL QUALIFICATIONS :

  • High School Diploma or G.E.D. equivalent.
  • One (1) year of clerical experience using various computer applications, or any combination of education and experience, which provides the applicant with the knowledge, skills, and abilities required to perform the job.
  • Must be willing to work with a flexible work schedule.
  • Ability to maintain the confidentiality of sensitive information.
  • Must have exceptional customer service and problem-solving skills.
  • Experience and knowledge of general office / secretarial practices and procedures.
  • Experience and knowledge of common practices and procedures of processing and disseminating information and supporting documentation.
  • Must have the ability to relate in a positive manner with supervisors, staff, students, families, and the public using tact, courtesy, kindness, and professionalism in all situations.
  • Able to communicate effectively both orally and in writing.
  • Effectively use a variety of Google computer applications such as the following : Google Documents, Google Sheets, Google Forms, Google Calendar, etc.
  • Ability to work in an office atmosphere, which requires assisting and working well with other staff members, parents, and students.
  • Must have strong written and oral language skills, be detail-oriented, and have excellent attendance.
  • Ability to independently plan, organize, and coordinate assigned activities, often in the supervisors' absence.
  • Ability to work cooperatively with administrator(s) and staff to maintain a safe and caring learning environment.
  • Must be professionally dressed and maintain a clean, professional workspace.
  • Ability to maintain the confidentiality of sensitive information.
  • Knowledge of the SKYWARD system preferred.
  • Knowledge of the Homeroom Data system preferred.
  • Bilingual in Spanish preferred.

ESSENTIAL JOB FUNCTIONS :

  • Performs receptionist duties by answering and routing telephone calls, emails and providing assistance and information to the public in person, in writing, or by telephone.
  • Assists with data entry for various functions such as attendance, attendance reporting, attendance letters, discipline, registration, enrollment, etc.
  • Ability to assist the administration to track data. Examples may include absenteeism, truancy reporting, attendance appeals, BECCA documentation, discipline, support services, etc.
  • Ability to assist in accurate record-keeping for such things as state accounting / auditing purposes, etc.
  • Work with a minimum of supervision.
  • Assist in student accident / health-related situations. Be willing to receive medication administration training.
  • Assist with registrar duties as needed.
  • Assist in scheduling appointments and maintaining calendars for assigned staff.
  • Assist in sending letters, forms, memoranda, and reports from notes, tapes, records, or general direction with accuracy;

preview incoming correspondence and distribute as appropriate.

  • Assist in daily building tasks such as the following : Issuing student ID cards, responding to student / family / agency requests, coordinating new student registration, issuing admittance slips for absences, receiving and receipting monies, issuing parking passes, etc.
  • Assist with coordinating and preparing necessary materials for school activities such as registration, open house, celebrations, graduation, etc.
  • Assist with the maintenance of and updates to the inventory of supplies, books, furniture, and equipment.
  • Work with phone messenger program / machine for daily absentee phone calls.
  • Assist with secretarial support for summer school start-up.
  • May be asked to work beyond the required workday on occasion due to emergency issues or projects.
  • Assist with the supervision of students in a time-out setting when needed.
  • Assist administration by providing secretarial support as needed.
  • Perform other duties of a similar nature or level as assigned.

TESTING REQUIREMENTS :

  • First aid card may be required for specific positions
  • Ability to successfully complete the following assessments : Typing (upper Moderately Effective to Highly Effective range), math, grammar, basic excel, proofreading, writing sample (optional), 10-key test (optional), accounting (optional) tests.
  • Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal / director.
