Moseley Architects is Hiring a Front Desk Administrator Near Charleston, SC

We are currently seeking a Front Desk Administrator for a full-time employment opportunity in our Charleston, SC office. This individual will handle normal front desk duties while also being responsible for supporting several Construction Contract Administrators who will be working in the field. We are looking for a high-energy, well organized, “can-do” multi-tasker to join our team. The function of this role requires that the administrator work on multiple projects, tasks, and assignments throughout the workday. Timeliness, accuracy, and an ability to prioritize workloads are all important elements needed to be successful. If you meet the following criteria, we would like to hear from you.Location: Charleston, South Carolina
Experience
  • At least 2 years of previous experience in an administrative role is desired
  • Previous experience working in an architectural, engineering, or construction office is favorable
 
Responsibilities
  • Answering the office phones, coordinating conference calls and travel arrangements, and greeting visitors
  • Handling all incoming and outgoing mail, packages, and faxes
  • Ensure all electronic project files are up to date including construction phase files. Confirm each new project has the correct “basic” set of files and all additional files needed thereafter for all projects
  • Light accounting duties to include reconciling expenses, logging in contractor payment applications, etc.
  • Organizing and maintaining inventory of all office supplies
  • Assist with construction phase documentation that may need to be logged into various virtual databases. Manage the transmittal of these documents to appropriate parties for review and response and return to Contractor
  • Assisting with on-line marketing research efforts, and with Bidding and Construction Administration support
  • Data entry into Vision and other databases as needed
  • Printing, compiling, and binding marketing and presentation materials when needed
  • Drafting, proof-reading, and formatting letters in Word and preparing spreadsheets in excel as needed
  • Helping to ensure construction phase documentation is moving forward while field folks are out of the office
 
Additional Criteria
  • Ability to take initiative and work independently, as well as the ability to work as part of a team is a must
  • Ability to handle some heavy lifting of drawings, packages, etc.
  • The ability to drive is needed for occasional office errands
  • Proficient in using various shipping and tracking software
  • Ability to work quickly and efficiently while successfully handling multiple projects simultaneously in a deadline-driven environment
  • Impeccable verbal and written communication skills with good proof-reading abilities
  • Professional presence with a positive attitude and a friendly telephone voice
 
Software Proficiencies
  • Proficient in Microsoft Office Suite
  • The use of Procore, Newforma and Deltek Vision is preferred, but not mandatory
  • Knowledge of the following database programs also preferred: PlanGrid, Converge, Sharepoint
 
A valid, unrestricted driver’s license and driving record, as deemed acceptable by our firm’s liability insurance carrier, must be presented and maintained.
