Position Summary:

MoPOP is seeking a detail-oriented and thoughtful planner to join our People Culture team! The People Culture Coordinator provides administrative support to the team covering human resources, talent development, DEIA, and community engagement functions, playing an integral role in our service delivery to MoPOP’s 130 staff members. The P C Coordinator works closely with the Chief People Officer to set and track deadlines, organize, and maintain confidentiality with employee documentation, and sends timely communications to staff and people managers. The coordinator is adaptable and jumps into the weeds to solve problems.

Essential Job Duties (additional duties as assigned):

  • Maintain the People Culture department calendar, schedule, and coordinate internal department meetings as well as manage the organization and cleanliness of electronic folders and inventory cabinets.
  • Completes a broad variety of administrative tasks for the CPO including calendar management, training prep, and developing agendas for cross-departmental committees.
  • Prioritizes conflicting needs; handles matters timely, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Submit department invoices to generate purchase orders and track department expenses, reconcile department credit card and accounting balances with Finance team.
  • Coordinates staff recruitment activities including posting, sourcing, scheduling, and accessing interview questions, rubrics, and other hiring templates.
  • Provide scheduling and calendar management to hiring teams, coordinating search activities and support.
  • Assists the CPO and Manager of People Operations with pulling and organization department metrics, support quarterly reporting, and create slide decks.
  • Support Manager of People Operations with benefits enrollment, onboarding procedures, and maintaining MoPOP’s HR Information System (HRIS).
  • Organize and maintain P C team repository of up-to-date reports, templates, benefits information, and other resources for staff and managers.
  • Supports the P C team in scheduling and logistics for training information sessions, wellness job fairs, community engagement activities, and staff engagement programming.
  • Plans days of onsite activities for P C lead committee meetings, partnering with catering, facilities, and event operations.
  • Collaborates with P C team on employee engagement initiatives including open enrollment, lunch learns, DEIA panels, and staff celebrations.
  • Support our internal culture which inspires and empowers our staff to live our mission to its highest standards.
  • Contribute to a consistent customer service standard across all departments.
  • Work to ensure customer service is ingrained at the core of the team and is reflected outward to our guests and other staff.
  • Commitment to participating in anti-racism work, learning about the ways institutional racism impacts the workplace, and supporting teammates in operationalizing DEIA strategies in the department.

Preferred/Desired Qualifications:

  • At least two (2) years of administrative support experience in an office setting. Prior experience assisting or supporting HR teams is a plus.
  • Clear communication skills with an ability to navigate diverse communication styles and engage diverse audiences.
  • Ability to assess different scenarios and challenges critically and holistically, and efficiently problem-solve.
  • Experience in customer relationship management, HR information systems, or similar databases.
  • Ability to provide project management and event planning support to team members with a keen eye for documentation and communication.
  • Proven ability to provide effective customer service for internal and external client groups.
  • Demonstrated ability to work effectively in a collaborative team environment with a dynamic range ofpeople.
  • Ability to assume high levels of responsibility, handle stress, stay organized, focused, andbalanced.
  • Detail oriented with strong organizational abilities and able to manage a continuous workflow in a high volume, multi-taskingenvironment.
  • Ability to respond to changing circumstances and priorities in a focused and timely manner; proactively address issues as they arise and mitigate risks associated with events.

This regular full-time position includes Medical/Vision insurance, Dental insurance, Life/AD&D/LTD insurance, 3.08 hours of accrued Vacation per bi-weekly pay period, Seattle Sick/Safe, 2-7 Floating Holidays dependent on hire date, 8 Company Holidays paid throughout the year, EAP, 401k plan with vested match schedule once eligible, and subsidized transportation benefits for Orca Pass or parking.
