City Staffing is Hiring a Development Coordinator Near Chicago, IL

Our Client is a local University and this role would take place in their Medical and Biological Sciences Development Division.

COMPENSATION:

$22.00/hr-$25.00/hr for the temp portion of the role.

Perm salary range, should things convert, is around 55K-58K comprehensive benefits package

Essential Functions:

Project Coordination – 85%

  • The Coordinator conducts a variety of essential projects to support initiatives and their assigned team.
  • They coordinate the logistics of meetings, events, and staff meetings as needed. Supports team on event planning and execution including working with vendors and collaborating with campus colleagues and volunteers. Records event attendees. Staffs events. Prepares and revises agendas, charts, and other materials for meetings and presentations, and proposals. Analyzes and synthesizes data to prepare custom and ad hoc reports, spreadsheets, graphs, and charts for metrics, presentations, and meetings. Generates accurate mail lists, email lists, and specialized distribution lists as needed. Maintains team data necessary for review.
  • They compose and edit correspondence and other documents for delivery internally and externally (e.g., donor acknowledgments, correspondence for leaders and volunteers within the primary strategic constituencies). Proofreads and copy-edits documents such as reports, letters, memos, analyses, etc. They track the progress and process of acknowledgment letters to ensure timely and accurate acknowledgment. They participate in the Review process.
  • They monitor gift reports and alert the team to charitable gifts made by key individuals, donors, volunteers, and/or Trustees or as identified by the Director.
  • They utilize the fundraising database, Griffin, to look up and maintain up-to-date and accurate information and to research information. They fulfill requests for queries/reports from Griffin.
  • Proactively updates constituent records on an ongoing basis and as necessary to ensure accurate information. They learn best practices for using the system and teach team members how to accomplish tasks in Griffin.
  • Provides information in response to specific requests, direct calls, and other relevant information to appropriate individuals while using discretion and judgment with confidential information.
  • Develops a network of professional contacts and provides advisory assistance to other offices that seek it.
  • Proactively schedules all meetings and makes all travel arrangements on behalf of the assigned team.
  • Understands and practices team strategy and administrative processes to manage volunteers and resources effectively.
  • Seeks opportunities for professional development that will enhance job performance.

Financial -- 10%

  • They assist with the preparation of the budget, coordinate expenditures, and monitor and reconcile accounts. May receive, process, and track bills and expense reimbursements, as needed.
  • Gift Processing: Prepares gift allocation forms for gifts received, and forwards the gifts and completed forms to Central Development’s gift processing office. Works with the Gift Management Specialist to identify correct accounts.
  • Accounts Payable: Processes invoices and reimbursement requests for fundraisers as requested by their manager using GEMS or DPVs.

General – 5%

  • Participates in office-wide endeavors, such as Staff Meetings, Retreats, ad hoc working groups, and other similar activities.
  • Demonstrates and models the level of teamwork expected of all employees, by 1) assisting fellow colleagues at when their supervisor deems it possible and necessary; and 2) working events including June reunion weekend as requested by their peers or supervisor.

Qualifications

· Education: A bachelor’s degree or higher is required.

Experience:

  • A minimum of one year of work experience in nonprofit management, development, alumni relations, marketing, public relations, or similar work required.
  • Experience with fundraising, contact management or other database software preferred.
