Montessori Center of Our Lady is Hiring an Office Manager Near Livonia, MI

The Office Manager at Montessori Center of Our Lady is responsible for quality office management and efficient daily operation of office-related activities, including collection of fees/tuition and record keeping. The role is reflective of the Felician Sisters’ Core Values for Ministry (Respect for Human Dignity, Compassion, Justice & Peace, Solidarity with People in Need, and Transformation).

PERFORMANCE DUTIES:

  • Provide prompt and courteous reception and information to parents and visitors
  • Assume responsibility for efficient office management and supervise administrative staff
  • Assist the Program Director with tasks related to day-to-day administration of the facility, health and safety requirements, State of Michigan child care licensing and staff scheduling
  • Create email campaigns for parents and staff members informing them of events, fundraisers, activities, etc.
  • Work with Program Director and Head of School with enrollment management and scheduling
  • Assist with the care of children in special circumstances during the day when need arises
  • Maintain accurate tuition accounting for each family and actively enforce tuition policies, including pursuing collections of overdue accounts
  • Maintain and update HIPAA-compliant records for both students and staff members
  • Reconcile petty cash
  • Record payments on account, prepare and make bank deposits
  • Place all supply orders and maintain inventory control
  • Act as liaison with Felician facilities team
  • Maintain files on each child as required for licensing (including emergency and health forms)
  • Support the philosophy of the Felician Sisters Child Care Centers, Inc. and Montessori Center of Our Lady by adhering to procedures and established standards of conduct/practices
  • Assist with special events, fundraisers, etc., as needed

  • The Office Manager ensures that all employees, families, volunteers and vendors are treated in a manner consistent with Felician Core Values: Respect for Human Dignity, Compassion, Solidarity with the Poor, Transformation, and Justice and Peace

  • Demonstrates adherence to State of Michigan Licensing Rules for Child Care Centers, Great Start to Quality, as well as policies and procedures of The Felician Sisters Child Care Centers, Inc.

JOB QUALIFACTIONS:

  • The Office Manager shall be a sensitive and mature person who has experience working in an office setting in addition to the following:
  • Experience working with young children
  • Relates to children and adults in a caring manner
  • Strives to meet the needs of children and their families
  • Proficient computer skills including experience with Word, Excel, and Google Drive and willingness to learn other applicable software quickly
  • Ability to work independently, managing multiple tasks
  • First Aid, CPR and Blood Born Pathogens training
  • Effective verbal and written communication skills
  • Ability to keep confidences regarding staff, parents, and children
  • Exemplary interpersonal, planning and organizational skills
  • Protecting God’s Children workshop
  • Job Knowledge:
  • Possess courteous and efficient telephone skills as well as the other skills necessary for operating and managing a complex and busy office
  • Knowledge and skills necessary to provide developmentally appropriate care/communication with children

PHYSICAL DEMANDS:

  • Sitting at desk; walking throughout Center during the day
  • Reaching, bending, and lifting when necessary
  • Must have functional senses and manual dexterity for use of office equipment and telephone
  • Must be able to lift up to 40 pounds under physical demands

ENVIRONMENTAL CONDITIONS:

· Performs duties with exposure to infectious or communicable diseases inherent to that of a child care facility

· Occasional exposure to loud or unpleasant voices due to unpredictable behavior of children

JOB RELATIONSHIPS:

  • Supervised by the Program Director of Montessori Center of Our Lady for overall responsibilities
  • Supports the work of the Business Office, Enrollment Manager and Head of School
  • Coordinates with other office assistants and volunteers

The pay rate for this role starts at $18.00 per hour and will commensurate with experience.
