The Payroll/Benefits Specialist works directly with an assigned portfolio of Communities to ensure the timely and accurate processing of their payroll, in conjunction with our PEO payroll team. This position is responsible for full-cycle employee maintenance from onboarding to off-boarding; employee time records, payroll processing, monitoring LOA's, conducts audits of payroll, benefits insurance premiums and other HR programs. Maintains employee database, file maintenance, HRIS entry and reporting for payroll, benefits, etc. Assists in resolving payroll, benefits & leave of absence related issues. Ensures all policies and procedures are adhered to accordingly.

This position is full time (40 hours per week) and will work closely with the HR Manager and Sr. HR Manager. Must be sensitive to Home Office and Facility needs, team member goodwill and the business needs. This position requires an extremely perceptive person who can relate to individuals at all levels within the organization on a professional level.

KNOWLEDGE, SKILLS, AND QUALIFICATIONS:

  • Computer Skills and the ability to learn HRIS, Benefits and Payroll systems (Engage PEO, WebClock, etc.)
  • Proficient in Word and Excel
  • Two plus years multi-state payroll experience, experience with a large non-exempt workforce a plus.
  • Familiar with standard payroll concepts, practices and procedures.
  • Strong verbal and written communication skills is a must.
  • Self-motivated, ability to multi-task/manage many projects simultaneously, and shift priorities as needed.
  • Must be able to work independently and also be a team player.
  • Strong analytical and problem-solving skills.
  • Excellent customer service skills, with the ability to interact professionally with employees at all levels of the organization.
  • Extreme attention to detail is needed.
  • Works well under pressure and meets deadlines.

ESSENTIAL FUNCTIONS:

  • Manages the onboarding process including automated onboarding into the HR system. Ensuring new employee records are completed and collection of all required documents and forms are timely.
  • Assists Communities with time keeping system issues and other system issues.
  • Analyzes, advises facilities on issues, inputs data, as needed, in payroll/HRIS system to ensure accurate and timely processing of payroll while ensuring compliance with policies and use of appropriate time off types.
  • Final review of payroll exports for assigned Communities prior to submitting to third party payroll processor to ensure there are no anomalies and hours are accurately paid.
  • Maintains Human Resources, time and attendance and benefit enrollment systems to ensure accurate data (i.e. pay rates, benefit premiums, FLSA Status, PTO, terminations, etc.).
  • Responds to team member inquiries in timely manner regarding payroll, benefits, or HR information and troubleshoots in an attempt to resolve payroll, benefits, or HR concerns.
  • Ensures all necessary documentation for changes in employment and leaves of absence are processed.
  • Ensures timely upload of data and review of time records for Payroll Base Journal (PBJ) Reporting on a monthly basis.
  • Delivers services with process improvement mindset to increase effectiveness and efficiency.
  • Assists with the creation and maintenance of knowledge base documentation
  • Ensures compliance regarding all employment practices: selection processes, I-9 reporting, E-verify, record keeping, EEOC compliance & reporting, and file management.
  • Escalates potential issues to HR Manager.
  • Maintains a high level of attention to detail in all tasks to ensure outstanding employee experience and optimal compliance.
