The Minnesota Indian Women's Resource Center staff seeks to assist American Indian women and their families in utilizing
their cultural values and strengths to retake ownership of their lives, providing necessary resources and guidance along the
way.
JOB SUMMARY: Reporting directly to the President and CEO, the Executive Assistant provides
Administrative support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the board of
directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and
oversees special projects. The Executive Assistant must be creative and enjoy a mission-driven, results-driven, and community-
oriented working environment. The ideal individual will have the ability to exercise sound judgment in various situations, with
strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance
among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to
completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with
discretion.
DUTIES AND RESPONSIBILITIES:

Executive Support-
• Completes a wide variety of administrative tasks for the President & CEO, including but not limited to:

o managing a highly active calendar of appointments and scheduling adequate break and debrief times
o completing expense reports
o composing and preparing confidential correspondence
o arranging travel plans, itineraries, and agendas and compiling documents for travel-related meetings

  • Provides internal communication between the President/CEO and internal departments, demonstrating leadership
to maintain credibility, trust, and support with senior management staff.
  • Works closely and effectively with the CEO to keep them informed of upcoming commitments and
responsibilities, following up appropriately.
  • Provides leadership to build external relationships crucial to the organization's success and manages various
special projects for the President/CEO.
  • High level of organization and the ability to prioritize in a changing environment.
  • Order office materials as needed (i.e., paper, printer supplies, office supplies, etc.)
  • Provide event management support when necessary
  • Process and distribute mail weekly
  • Must be able to perform all job responsibilities remotely and on-site and feel comfortable using technology
  • Provides event planning, execution, and support.
  • Tracks and coordinates private donations.
  • Organizes and submits reports to CEO
Qualifications:
• Valid Driver's License/Insurance, with a satisfactory driving record.
  • Must have own vehicle and be willing to transport as needed.
  • Must successfully pass DHS Criminal Background Study.
Demonstrated ability to:
• Maintain highly confidential and sensitive information.
  • Ability to exemplify professional conduct and ethical standards.
  • Provide effective communication: interpersonal and listening skills with clients and staff.
  • Work in a cooperative team relationship with MIWRC agency staff and other agencies to coordinate client
services and programming.
  • Perform in a high multi-tasking position and maintain professionalism.
Board Support and Liaison-
• Serves as the President/CEO administrative liaison to MIWRC's board of directors
  • Maintains discretion and confidentiality in relationships with all board members
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding board and committee matters,

including advance distribution of materials before meetings in electronic/paper format.

Senior Management Liaison-
• Participates as an adjunct member of the Executive Team, including assisting in scheduling meetings and

attending all meetings
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings

Communications, Partnerships, and Outreach
• Ensures that the President/CEO bio is kept updated and responds to requests for materials regarding the

President/CEO and the organization in general
  • Edits and completes first drafts for written communications to external stakeholders
  • Supervise and oversee the Communications Specialist
  • Manage and track incoming donations while also building and maintaining relationships with donors, including

but not limited to fundraising and thank you letters.

REPORTING AND SUPERVISORY RESPONSIBILITIES:
This position reports directly to the President & CEO
JOB CLASSIFICATION: Regular; Full-time; Salaried; Exempt
SALARY: $45,000-$50,000
