JOB DESCRIPTION

Job Title : Administrative Assistant III

Location : Lafayette, Colorado

We are seeking a highly organized and proactive Administrative Assistant III to join our team. The successful candidate will be responsible for providing comprehensive administrative support to functional managers and teams, coordinating office activities, and managing various projects to ensure the smooth operation of our office environment.

Responsibilities :

Support day-to-day needs and requests of functional managers, including calendar management, travel arrangements, and correspondence.

Secure space for meetings and events, ensuring all logistical requirements are met.

Place catering orders for office meetings and events, considering dietary restrictions and preferences.

Manage the ordering process for office supplies and equipment, ensuring timely delivery and cost-effectiveness.

Assign seating to onsite employees, taking into account team dynamics and space utilization.

Act as Area Coordinator, overseeing designated areas of the building and ensuring a conducive work environment.

Manage special programs as needed, including employee recognition initiatives and office wellness activities.

Assist with employee training logistics, including scheduling, materials preparation, and completion tracking.

Collect and organize slide information for town hall meetings, collaborating with stakeholders to ensure content accuracy and relevance.

Support the onboarding process for new hires, providing administrative assistance and facilitating a seamless integration into the company.

Collaborate with managers to maintain new hire checklists, tracking progress and ensuring all necessary steps are completed.

Send team communications as needed, ensuring that messages are clear, timely, and aligned with organizational objectives.

Regularly collaborate with other administrators and support personnel to share best practices and optimize office operations.

Prioritize tasks effectively, demonstrating strong organizational skills and attention to detail in a fast-paced environment.

Lead daily office work independently, demonstrating initiative and the ability to manage multiple responsibilities simultaneously.

Manage various projects pertinent to the administrative role, ensuring that deadlines, budgets, and quality standards are met.

Coordinate travel arrangements and submit expenses, ensuring compliance with company policies and cost-effective travel solutions.

Qualifications :

Bachelor's degree or equivalent work experience in an administrative support role.

Proven experience in providing high-level administrative support in a dynamic and fast-paced environment.

Excellent organizational skills and the ability to prioritize tasks effectively.

Strong interpersonal and communication skills, with the ability to interact with employees at all levels of the organization.

Proficiency in Microsoft Office suite and other relevant software applications.

Experience in project management and the ability to manage multiple projects simultaneously.

Familiarity with travel coordination and expense reporting processes.

Ability to work independently and demonstrate initiative in problem-solving and decision-making.
