The Executive Assistant provides executive-level administrative support to the President/ CEO to serve the needs of the Executive Office. The incumbent may also provide assistance to members of the Senior Leadership Team, as needed.
Key Responsibilities:
Provide outstanding customer service to the President/CEO, the Board of Directors, MHS leadership and staff, and all MHS constituents and stakeholders.
Serve as the liaison to the Board of Directors.
Produce such materials (using Word, PowerPoint, etc.), whether as directed or using individual initiative, in support of the needs of the President/CEO.
Produce and distribute Board of Directors and Board Committee meeting materials, on time and error-free.
Record, transcribe, distribute and maintain the minutes of Board of Directors and Board Committee, and ad-hoc committee meetings.
Prepare and distribute correspondence from the Office of the President.
Arranging travel for the President/CEO and others as requested.
Schedule and manage the calendar of the President/CEO. Exercise great judgment and initiative in resolving scheduling challenges.
Support all-staff scheduling needs for trainings and meetings.
Ensure the CEO is properly and fully prepared for meetings, appointments, presentations, etc.
Manage the expenses of the Executive Office, including reconciling receipts and reimbursements.
Professionally maintain a highly-organized, efficient and easily accessible filing and records-storage system. Both hard copies and electronically as needed.
Maintain a personal workspace that is, at all times, professional and presentable such that its appearance reflects favorably on the Executive Office and the President/CEO.
Constantly seek means and methods to add greater value to the organization and to improve the efficiency and effectiveness of the Executive Office.
Qualifications:
High School diploma (or equivalent) is required; college degree is preferred.
A minimum of 3 years of relevant executive-level administrative experience is required.
Board of Directors support, communication, customer service, and relationship management is strongly preferred.
Experience working in non-profit organization is preferred.
Demonstrated proficiency in Microsoft Office programs (including Word, Excel, PowerPoint and Outlook) is required, as well as proficiency with Internet research tools
