Miami Valley Community Action Partnership is Hiring an Administrative assistant Near Eaton, OH

Position Summary : To provide administrative support and transportation coordinating for the Preble county MVCAP office in order to help assist the general public and community with resources.

Essential Duties :

  • Answer phone calls, forward calls, or take messages to distribute to appropriate staff.
  • Provide customers with program information and other agency referrals.
  • Assists customers with inquiries and provide them with appropriate program application forms.
  • Provide customers with time, date, and location of HEAP appointments.
  • Assists with the preparations of reports and / or program applications as directed.
  • Perform data entry and word processing to assist in the daily operation of the agency.
  • Files copies of invoices for Administrative office.
  • Assist customers with Outreach emergency services, food referrals, or any other programs as needed.
  • Maintain and promote the cooperative, harmonious, teamwork environment Miami Valley Community Action Partnership strives to promote within the workplace.
  • Maintains and promotes an atmosphere of dignity and respect in line with the philosophy and policies of Miami Valley Community Action Partnership.
  • Represents Miami Valley Community Action Partnership in community and collaborative meetings as needed.
  • Set and observe appropriate boundaries with clients; observe client confidentiality and HIPPA protocols.
  • Maintains contacts with other programs / agencies as it relates to services, contracts, negotiations, etc.
  • Ensures that the driver / dispatcher logs and time records are accurately completed and submitted each day.
  • Monitors mechanical efficiency of transit vehicles and ascertain that all vehicles are properly maintained.
  • Ensures that monthly billing is accurate and submitted for payment from the funding source in a timely manner.
  • Ensures that bills are coded and sent for payment in a timely manner.
  • Appropriately responds to phone, email, or in person inquired and supports requests from clients, visitors, and staff.
  • Networks with community resources to coordinate services and improve service delivery.
  • Any other related duties as assigned.

Qualifications :

Education and Certifications :

High School Diploma required.

Experience :

  • Must have experience using multi-line phone systems and office machines.
  • Must have excellent customer skills, being friendly, courteous, and professional at times. Must be approachable and neat in appearance.
  • Must be able to relate well with all persons of diverse backgrounds and have excellent communication both orally and written.
  • Must be very proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
  • Must be able to type a minimum of 40 words per minute.
  • Knowledge of OCEAN a plus.
  • Must have a valid Ohio Driver's license and be insurable under Agency insurable policy.
  • Subject to criminal background check, pre-employment and random drug and alcohol testing and MVR.
