The Accounts Payable Specialist’s primary responsibilities include financial, administrative, and clerical duties for the agency as well as the customary accounting work in the accounts payable function. This position reports to the Accounts Payable Supervisor.

Qualifications: This position requires a high school diploma or equivalent and two years of accounts payable or bookkeeping work experience; or any satisfactory combination of experience and training which demonstrates the knowledge, skills and abilities to perform tasks.

Skills Required: Reliability, responsibility, effective with oral and written communication, ability to meet deadlines, ability to work co-operatively as part of a team, ability to work independently, ability to multitask, and use sound judgment. Must be detail oriented, with accurate data entry skills; intermediate computer literacy of word and spreadsheet software as well as recordkeeping and bookkeeping principles. Physical requirements include the ability to lift up to twenty-five pounds, standing and sitting for prolonged periods, bending and stooping in order to file.

I. Accounts Payable
Goal: To perform the day-to-day processing of accounts payable transactions.

• Receive and verify invoices for goods and services
• Verify that transactions comply with financial policies and procedures
• Enter invoices for payment and process backup reports
• Assist with processing checks, getting signatures on checks, copying checks, and mailing checks.
• Maintain updated vendor files and invoice files
• Reconcile outstanding balances on accounts, including communications with vendors
• Utilize Excel to analyze accounts and prepare import files
• Accept and process credit card payments, reconcile credit card accounts.

II. Agency Administrative Support
Goal: To ensure quality administrative practices and correspondence.

• Assist with incoming phone calls and visitors
• Assist Accounts Payable Supervisor with accounting and grant tasks as needed
• General errand as needed such as posting outgoing mail and obtaining signatures
• Perform general office tasks as needed (filing, faxing, copying, etc.)
• Perform various departmental tasks in support of co-workers as workload and staffing levels dictate.

III. Miscellaneous

• Attend staff meetings
• Attend training workshops as needed
• Enhance job performance by applying up-to-date professional and technical knowledge gained by participating in webinars
• Perform ad hoc projects as appointed by Supervisor

Job Type: Full-time

Pay: $21.00 - $23.00 per hour

Expected hours: 40 per week
