Position Overview :

Reporting to the Associate Dean and Director of International Recruitment, this Administrative Assistant is a full-time position charged with warmly, professionally engaging visitors on campus, with particular responsibilities for communications, international recruitment initiatives, front desk reception and office wide support.

Department Overview :

The Carleton College Office of Admissions exists to make prospective students' college search and application process easier, efficient, and more welcoming.

Essential Job Functions / Responsibilities :

Support marketing and communications, with specific attention to : Maintaining a comprehensive and up-to-date inventory of admissions materials in Scoville Hall, Johnson House, and other on- and off-campus locations.

Coordinating re-ordering of materials with the Communications team, as needed.Coordinating bulk mailings and swag orders with external vendors.

Support communications in Slate.Support international recruitment, with specific attention to :

Ensuring new CEEB codes for international applicants are properly updated in Slate in a timely manner.Coordinating the delivery of admit packets to all internationally-based admitted students.

Respond to international student inquiries through the Inbox function of the Slate CRM.Serve as a public-facing receptionist, with attention to :

Front desk reception for the Admissions and Student Financial Aid division; including check-in, itinerary coordination, and answering visit questions;

Answering general phone calls and fielding email inquiries in the Inbox on a daily basis;Coordinated communication to ensure visitors, student ambassadors, divisional colleagues, and other campus partners understand their roles and responsibilities.

Scheduling and / or support for group visits.Ensuring accuracy of data entered within Slate.General Office Support

Support staff recruitment travel by ensuring that requested materials are shipped in a timely manner and that staff members have a tracking information.

Perform general office tasks (eg, compose routine correspondence, copying, collating, making deliveries, general office errands, etc).

Works to create and encourage an open, welcoming, and inclusive environment in admissions that actively supports students and their families to appreciate and grow with Carleton's academic and cultural life and deep tradition in the liberal arts.

Coordinates special projects / tasks and / or provides assistance to divisional programming and events as assigned.Describe Supervision Received and Exercised :

Reports to the Associate Dean of Admission & Director of International Recruitment.Education / Experience / Skills (supported by job duties) :

Required :

3-5 years of similar office experience.Proven word processing skills.Strong and demonstrated attention to detail.Polished interpersonal skills and ability to make all visitors feel welcome and heard.

Ability to multi-task in a fast-paced, high-volume environment and to think on one's feet.Ability to work independently as well as part of a team.

Strong organizational, administrative, and time management skills in order to manage multiple projects and tasks.Enthusiasm for supporting a student body that is broadly diverse with regard to gender, race, ethnicity, nationality, socioeconomic status, sexual orientation, and religion, among other factors.

A commitment to strengthening inclusion, diversity, and equity at the divisional and institutional level.Excitement to learn, innovate, and grow skills to match evolving needs, including an openness to staff and supervisor feedback.Preferred :

A bachelor's degree.Demonstrated comfort with MS Office and Google Workspace applications.Prior experience with a Client Relations Management (CRM) system.

Prior experience in higher education workplaces.Comfort reading, writing, and speaking in a language other than English.

Must have the ability to understand and follow written and oral work instructions, operations, safety procedures, and hazardous labels.
