MCMURRY UNIVERSITY is Hiring an Executive Assistant to the President Near Abilene, TX

Reporting directly to the President of McMurry University, the Executive Assistant, works independently performing a wide range of complex and confidential administrative support duties. Excellent communication and interpersonal skills are required and the ability to provide information and service to a wide range of internal and external contacts. This position requires knowledge of the University and departmental policies and procedures. Includes responsibility for executive office management as appropriate.

Job Duties:

  • Management of the President’s schedule to include all meetings, luncheons, speaking engagements, travel arrangements, and travel folders.
  • Plan and coordinate meetings and luncheons hosted by the President.
  • Review and maintain budgets for the Office of the President, Board of Trustees, and Faculty Athletic Representative. Prepare and submit appropriate expense reports, check requests, and purchase orders for the President.
  • Assist the President with the weekly preparation of the Cabinet agenda and meeting correspondence and occasional preparation for University Councils and Leadership Teams which the President facilitates.
  • Serve as a recorder to the President’s Cabinet and maintain accurate minutes as a record of the meetings. Maintain and upload various Cabinet documents to SharePoint.
  • Manage the use of the President’s Conference Room and the President’s Boardroom in the Campus Center.
  • Review and log all mail, correspondence, materials, and information addressed to the President and to prepare responses and/or provide research to the President for his/her response. Distribute outgoing mail to appropriate parties.
  • Responsible for maintaining and filing documents and confidential information for the President’s Office.
  • Review, print, and secure President’s signature, and mail all new faculty and staff employment letters. Review all documents for the President’s signature and disburse the documents in a timely manner.
  • Management of equipment such as computers, printers, facsimile, and supplies in the Office of the President.
  • Create or forward emails on behalf the President to other constituencies such as the Board of Trustees, the President’s Cabinet, and the Campus wide community.
  • Meet & greet visitors for the Office of the President. Answer phone calls and provide information to callers from on and off campus.
  • Act in the best interests of the University within the Office of the President in the absence of the President.
  • Undertake any special projects assigned by the President and provide clerical support to the President as needed.
  • Plan and coordinate all Board of Trustees meetings, luncheons, retreats, etc.
  • Maintain the Trustees site in SharePoint including Board approved policies, minutes, board meeting packets, and other Board documents.
  • Assist the President with the preparation of the Board of Trustees agendas, meeting correspondence, and President’s report.
  • Prepare and maintain accurate minutes as a record of Trustee meetings and other Trustee committees as designated by the President.
  • Prepare and maintain Board of Trustees service and attendance records.
  • Work as Board of Trustees liaison. Provide information to Trustees (present or past) as needed.
  • Other duties as assigned

Required Qualifications:

  • High School Diploma. Minimum of three years’ prior experience as an administrative assistant. Proficient in Microsoft Office, including Office Calendar, Word, PowerPoint, Excel, Database, and Publisher.
  • Proficient in SharePoint – internal storage/share document program. Essential analytical abilities sufficient to handle routine technical projects with minimum supervision.
  • Ability to handle priorities in a calm, results-oriented manner and interact effectively with all levels of employees (both internal and external).
  • Must be able to maintain confidentiality and demonstrate professional integrity at all times.

Preferred Qualifications:

Two years of college preferred. At least one year of previous administrative experience supporting executives.

Minimum Required Education - High School/G.E.D.
