Job Summary

May Mobility is entering an exciting phase of growth and our team is expanding quickly. We are looking for a strategic, globally-minded benefits guru who is highly-organized and ready to level up our benefit and wellness efforts as a Lead Program Manager focused on all things Benefits and Wellness. They will be the go-to expert who will develop, update, improve, and oversee core benefits administration as well as our core benefit and wellness programs, while providing excellent customer service and a fantastic employee experience. This role reports to the Director of People Operations. 

Essential Responsibilities

  • Serve as the primary POC for employees for all benefit and wellness related inquiries related to plan provisions, benefits enrollments, status changes and other general inquiries in accordance with our SLAs
  • Assist employees regarding benefit claim issues and plan changes
  • Enroll employees with applicable carriers and process life status changes
  • Ensure the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information
  • Process and administer all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA
  • Effectively interpret FMLA and ADA implications as they relate to leaves of absences/disabilities, in partnership with assigned HRBP
  • Oversee and manage all aspects of COBRA (Consolidated Omnibus Budget Reconciliation Act) compliance and administration 
  • Conduct benefit and wellness orientation providing detailed plan, enrollment, and cost information to new employees
  • Manage worker’s compensation claims and OSHA / compliance reporting
  • Respond to 401(k) inquiries from managers and employees relating to enrollments, plan changes, and contribution amounts. Manage the annual catch-up contribution enrollment
  • Lead quarterly meetings with May’s 401(k) provider to review plan performance, participant engagement, and administrative matters.
  • Lead entire open enrollment process, including but not limited to, creating and updating benefits related resources available to employees, providing training, and Q&A opportunities to ensure employees feel informed about their benefit selections
  • Audit enrollments on a cadenced and consistent basis to ensure coverage and deductions are proper and resolve any discrepancies timely 
  • Serve as main POC for managing relationship with brokerage firm and escalating any issues, trends or new opportunities in the partnership
  • Responsible for all compliance related reporting to applicable agencies and also providing proper documentation to employees timely as required by law
  • Provide necessary reports for allocation/billing charges and partner with vendors to resolve discrepancies when necessary 
  • Lead ongoing company trainings and workshops on ‘how to’ navigate and utilize benefit programs and related systems via videos, presentations, and in person live sessions
  • Pull scheduled and ad hoc reports from HR / People / Benefit systems, compile reports from the database as requested, and provide analysis and report out on findings and trends. Develop and lead an ongoing audit schedule of all benefits to ensure enrollment/billing data is clean, matching and up to date for reporting purposes
  • Drive surveys and compile data related to employee satisfaction of benefit programs, and research new and/or improved benefit programs based on survey data 
  • Negotiate new and renewal contracts with external vendors for services for all benefits annually / semi-annually, ensuring that we always get the best service and value
  • Develop proposals and recommendations on new and innovative platforms and companies we may want to consider and partner with for future benefit programs 
  • Other duties as assigned

Qualifications and Experience

Candidates most successful in this role typically hold the following qualifications or comparable knowledge or experience:

Required

  • 7 years of experience in Human Resources / People with 5 years of progressive experience in the benefits administration field, with a focus on managing employee benefit programs such as health insurance, retirement plans, and voluntary benefits.
  • Bachelor's degree in Human Resources, Business Administration, Finance, or a related field 
  • Demonstrated expertise in interpreting and applying federal regulations and laws related to employee benefits, including but not limited to ERISA, ACA, HIPAA, and COBRA.
  • Proven track record of successfully leading and managing complex benefits projects and initiatives from conception to implementation, with a strong emphasis on attention to detail and compliance.
  • Extensive experience in vendor management, including negotiating contracts, overseeing service level agreements, and evaluating vendor performance to ensure optimal service delivery and cost effectiveness.
  • Solid understanding of benefits-related technology platforms and systems, with hands-on experience in implementing and managing benefits administration software, HRIS, and other related tools.

Desirable

  • Advanced degree or equivalent experience preferred
  • Relevant certifications such as CEBS (Certified Employee Benefit Specialist), PHR (Professional in Human Resources), or SHRM-CP (Society for Human Resource Management Certified Professional) preferred.
  • Experience using Google Suite and ADP

Physical Requirements

  • Standard office working conditions which includes but is not limited to:
    • Prolonged sitting
    • Prolonged computer use
  • Travel requirements - example- expectations 5-10%
