Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. The Administrative Assistant will report directly to the Office Manager and will be responsible for performing a variety of administrative tasks.

Responsibilities:

- Organize and schedule appointments

- Write and distribute emails, correspondence memos, letters, faxes and forms

- Assist in the preparation of regularly scheduled reports

- Develop and maintain a filing system

- Assist Engineering department with administrative tasks related to the delivery of a vessel, including manual preparation and distribution

- Update and maintain office policies and procedures

- Order office supplies and research new deals and suppliers

- Maintain contact lists

- Submit and reconcile expense reports

Requirements

- Proven experience as an administrative assistant or office admin assistant

- Knowledge of office management systems and procedures

- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

- Excellent time management skills and ability to prioritize work

- Attention to detail and problem-solving skills

- Excellent written and verbal communication skills

- Strong organizational skills with the ability to multi-task

- High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus
