Main Purpose of Job

The main purpose of this position is to function as the Office Administrator for the Clinical Director / Chairman, Department of Medicine & Psychiatry, and the medical staff of Springfield Hospital Center.

This position is responsible for the operational and administrative activities for these offices in accordance with hospital policies, State rules & regulations, and outside agency requirements (The Joint Commission, CMS, ACGME, MedChi, etc.

The position provides direct administrative support to the Clinical Director / Chairman, Department of Medicine & Psychiatry, and the medical staff by performing and coordinating the executive secretarial functions of these departments.

Springfield is a patient-centered psychiatric hospital dedicated to the care and treatment of persons with mental illness within a safe environment.

This position is an emergency essential employee and reports to the Clinical Director. Per the Amended Directive and Order Regarding Vaccination (MDH # issued by the Secretary of the Maryland Department of Health, effective April 18, 2023, staff in all hospitals and residential facilities operated by the Maryland Department of Health or any local health department are required to show proof of COVID-19 vaccination.

Staff includes, but is not limited to, regular and contractual employees, contractual staff, volunteers, and other state employees performing any duties at the facility.

MINIMUM QUALIFICATIONS

Education : Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience : One year of administrative staff or professional work.

Notes :

1. Candidates may substitute 30 college credit hours from an accredited college or university for the required experience.

2. Candidates may substitute Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

The desired candidate should possess :

  • Experience / Proficiency with Microsoft Office, Google Suite, and Smartsheets
  • Experience interpreting and applying regulations and standards for Centers for Medicare & Medicaid Services, the Joint Commission, Office of Healthcare Quality Assurance, and Code of Maryland Regulations
  • Experience with credentialing continuing medical education programs
  • Experience with administrative and clerical duties in a healthcare setting
  • Experience with delivering excellent customer service

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
