Job Title: Administrative Assistant
Location:  Montebello
Reports To: Operations Manager
FLSA Status: Salary: Non-Exempt Starting at $45,000
Position Summary: The Administrative Assistant is responsible for performing routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing, and maintaining paper and electronic files, or providing information to callers.Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned.
  • Actively manage the Executive Suite calendars, schedule meetings, and resolve scheduling conflicts.
  • Coordinate meetings for the Executive Suite including conference calls and Teams meetings.
  • Manage all administrative duties needed to maintain the Executive Suite
  • Greet visitors, decide nature and purpose of visit, and direct or escort them to specific destinations.
  • Use computers for various applications, such as database management or word processing.
  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Create, maintain, and enter information into databases.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as correspondence, or other material.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Complete forms in accordance with company procedures.
  • Make copies of correspondence or other printed material.

Write routine reports and correspondence. Speak effectively before groups of customers or employees.Mathematical Ability: Add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Compute rate, ratio and percent, and draw and interpret bar graphs.Reasoning Ability: Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Deal with problems involving several concrete variables in standardized situations.Computer Skills:
  • Proficiency in Microsoft Office; with emphasis on Excel, Word, and PowerPoint.
