Duties:
- Perform data entry and clerical tasks to support the executive team.
- Ability to work in a fast-paced envirnment.
- Provide excellent customer service by answering phone calls and responding to inquiries.
- Directing calls to appropriate place.
- Transcribe meeting notes and other important documents accurately.
- Manage and maintain schedules using Outlook Calendar.
- File and organize documents in both physical and digital formats.
- Typing proposals for Landscaping & Pool Jobs.
- Clear communication within the office and team members.
- Invoicing Clients on Intuit QuickBooks.
- Scheduling team members for meetings and jobs in the field.
Required Skills:
- Strong attention to detail.
- Strong organizational skills, the ability to manage and coordinate high-profile projects, and the ability to maintain and nurture relationships with clients.
- Excellent time management skills and the ability to prioritize work
- Excellent written and verbal communication skills.
- Proficient in using phone systems and other office equipment such as printers and 10-key calculators.
- Ability to transcribe accurately and efficiently.
- Proficiency in Microsoft Office - Word, Excel, Outlook.
- Proficiency in Intuit QuickBooks.
- High School degree; additional qualification as an Administrative assistant or Secretary preferred.
This position requires a high level of professionalism, discretion, and the ability to handle confidential information. The ideal candidate will be proactive, resourceful, and able to prioritize tasks effectively.
