Job Description:As a Virtual Administrative/Office Assistant at LoneStar Voyages, you will play a pivotal role in supporting the day-to-day administrative operations of our travel agency. You will assist with various tasks to ensure the smooth functioning of the office and provide valuable support to our team members. Responsibilities:
Front Desk Management: Greet visitors, answer incoming calls, and respond to inquiries in a professional and courteous manner
Email and Correspondence: Manage and prioritize incoming emails, draft responses, and handle correspondence on behalf of the office
Calendar and Appointment Management: Schedule appointments, meetings, and travel arrangements for team members, and maintain organized calendars
Document Preparation: Assist with preparing documents, presentations, and reports using Microsoft Office Suite or other software as needed
Data Entry and Database Management: Enter and maintain accurate records of client information, bookings, and other data in the company database
Office Organization: Maintain cleanliness and organization of the office space, including ordering supplies and ensuring equipment is in working order
Meeting Coordination: Arrange meeting logistics, including room setup, catering, and audiovisual equipment as required
Administrative Support: Provide general administrative support to team members, including filing, scanning, and photocopying documents
Special Projects: Assist with special projects and initiatives as assigned by management to support the overall goals of the company
Qualifications:
High school diploma or equivalent; additional education or training in office administration is preferred
Proven experience in an administrative or office support role, preferably in a fast-paced environment
Excellent communication skills, both verbal and written, with strong interpersonal abilities
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software
Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively
Ability to work independently with minimal supervision and collaborate effectively within a team
Professional demeanor and customer service orientation, with a positive attitude and willingness to assist others
