Job Summary:

We are thrilled to offer an exciting opportunity as we seek an organized Executive Assistant to join the renowned Lisa McDennon Design team! The ideal candidate is highly organized, detail-oriented, and possesses excellent communication skills. This crucial role entails managing the principal's calendar and operations, coordinating tasks, communicating with clients on the principal's behalf, and supporting a creative office environment. Responsibilities:

Calendar Management:

  • Maintain an accurate and up-to-date appointment calendar for the principal by coordinating with team members, clients, and external stakeholders to schedule meetings, conference calls, and other appointments.
  • Send timely reminders to team members and clients regarding upcoming appointments and meetings.
  • Assist in organizing and prioritizing the principal’s daily tasks and appointments for optimal time management and productivity.

Administrative Support:

  • Provide comprehensive administrative support to principal, including managing correspondence, filing documents, and maintaining records.
  • Handle incoming calls, inquiries, and emails and direct them to the appropriate individual. Respond on behalf of the principal when necessary
  • Assist in preparing reports, presentations, and other documents as requested for principal, and on occasion, team members.
  • Coordinate travel arrangements for the principal and on occasion staff, including booking flights, hotels, transportation, and managing itineraries.
  • Schedule and coordinate internal and external meetings, ensuring all necessary resources, such as location, meeting rooms, equipment, catering, and decor are arranged.
  • Prepare meeting agendas, distribute materials, and take accurate meeting minutes as required.
  • Follow up on action items and deadlines resulting from meetings, ensuring timely completion.

Office Environment and Facility Support:

  • Ensuring open office hours daily from 9:00am-5:30pm while maintaining a clean, well-organized, and professional work environment
  • Order and maintain general office supplies.
  • Manage all outgoing and incoming parcel and postal deliveries ensuring deliveries are appropriately sorted.
  • Promptly address office maintenance issues and report to management.

Maintain confidentiality and professionalism in all interactions. Represent the organization professionally when dealing with clients, stakeholders, and visitors.

Qualifications:

  • College Degree preferred
  • Proven experience in a similar role, preferably as a personal or executive assistant.
  • Exceptional organizational and time management skills.
  • Proficient in using calendar management tools, such as Microsoft Outlook or Google Calendar.
  • Strong attention to detail and ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and work well under pressure in a fast-paced environment.
  • Discretion and ability to handle confidential information with integrity.
  • Proficiency in using office productivity software, such as Microsoft Office Suite.
  • Professional and friendly demeanor with excellent interpersonal skills.
  • Previous experience in managing office supplies, facility, or related tasks is a plus.

Job Type: Full-time

Pay: $23.00 - $30.00 per hour

Expected hours: 40 per week
