The starting annual salary for this position is $41,945.14 (based on 2023-2024 fiscal year salary schedule) for a 0.883 FTE, 218-day, classified contract, plus comprehensive benefits. The college is currently in negotiations for the full-time classified collective bargaining agreement. Following ratification of the agreement, the salary schedule for the 2024/2025 fiscal year may be adjusted.

Position Title: Administrative Assistant, IEDI Employment Requirement Not Applicable Division/Department: Institutional Equity, Diversity & Inclusion Location Albany Campus, Albany, OR Job Summary:

Reporting to the Executive Director & Chief Equity Officer, the Administrative Assistant provides high-level administrative and program support for the department. This position will interact with various key stakeholders and individuals across campus and from outside the college. Responsible for maintaining and managing confidential and time-sensitive information. Follows the college's policies, administrative rules, procedures, and best business practices. Uses a wide degree of creativity and problem-solving to execute tasks and communicates effectively via phone and email, ensuring that all duties are completed professionally, accurately, and delivered on time and with high quality.

Required Qualifications:

Education and Experience: The position requires an AA/AS degree plus a minimum of three years of full-time experience in administrative support, community building, event planning, education coordination, or a related field, or an equivalent combination of education and related experience.

Knowledge and Skills: Requires high-level customer relations and community-building skills, with demonstrated evidence and commitment to diversity and inclusion. Must know best practices in operation management. Requires excellent planning, organization, and communication skills. Must be proficient in word processing, graphic design, and spreadsheet usage and can learn and apply new software programs, such as Banner FIS, Adobe Pro, and Navori, as appropriate. Proficient use of online calendars, social media apps, and dashboards is required. Must have excellent interpersonal skills to communicate verbally and in writing effectively. Must have strong math skills.

Abilities: Must be able to prioritize and organize tasks to meet schedules and timelines independently. Must interpret, explain, and effectively apply college policies and procedures. Requires the ability to recruit and motivate volunteers and student staff. Requires ability to use community-building technologies, such as social media and other networking technologies, including MS Office applications, Google Drive, etc.). Must be resilient and able to receive constructive criticism and feedback professionally. Must be able to operate general office equipment, including computers. Requires the ability to work collaboratively with staff, students, and community members. Must work respectfully with individuals of all cultures, backgrounds, perspectives, and abilities. Must be able to initiate problem-solving conversations and work through conflict effectively. Ability to deal with students who are upset or in distress.

Preferred Qualifications:

Preferred Education and Experience: A bachelor's degree and experience working in a fast-paced, high-executive administrative role are preferred.

Preferred Skills: Knowledge or experience working in a fast-paced business or college environment, as well as a robust understanding of policies and procedures associated with working in a diverse setting.

Physical Requirements and Working Conditions:

Physical Skills and Abilities: Requires interpersonal and group communication ability sufficient to carry on routine conversations in training or group sessions and participate in group or individual meetings. Learned physical skill is required to perform keyboarding functions.

The ability to lift and carry up to 20 pounds is preferred.

Working Conditions: Work is primarily performed indoors with little or no exposure to health and safety hazards. Work requires moving around campus and having high face-to-face and interpersonal contact. Some work is done outside with occasional exposure to inclement weather. The work environment has continuous conversational noise and interruptions. The position will utilize two separate offices (one in HUB and one in the Equity Center). Substantial time is spent working at a computer. Work hours will vary. Routine daily shift with some evenings and weekends; fall, winter, and spring terms (July and August off).

Essential Duties:

* Organizes and coordinates the Executive Director's calendar. Provides a broad range of administrative duties, including welcoming guests and answering phone calls, emails, and text messages. Plans and coordinates campus services for events in alignment with college policies and procedures.

* Provides administrative support and event coordination for office/department meetings, workshops, and conferences.

* Coordinates logistics, including room reservations, ordering food, sending meeting notices, preparing materials and agendas, etc.

* Attends meetings to provide support as an information resource and problem-solver. Transcribes minutes from rough notes and communicates to professional staff regarding action items as assigned.

* Assists Institutional Equity, Diversity & Inclusion by acting as liaison with other internal and external stakeholders at Linn-Benton Community College.

* Assists in accomplishing tasks as requested by the Executive Director.

* Assists in developing student staff training and professional development opportunities as requested by the Executive Director.

* Performs fiscal/budget responsibilities. Monitors budget expenditures, submits and reconciles expense reports, prepares and monitors invoices, and is responsible for travel arrangements for the Executive Director.

* Maintains all department online presence and web pages.

* Coordinates and stays current on updates to technology programs and software to maintain key documents and online web programs (e.g., fillable PDFs, Google Forms, etc.).

* Assists the Executive Director in increasing the visibility of the department's professional development and training opportunities.

* Assists in logistical oversight of training and events, as well as management of department activities, organizing catering, room reservations, physical space set-up, equipment and materials, etc.

* Prepares monthly equity reports and annual presentations to the Co-Curricular Budget Committee.

* Serves on other related committees as deemed necessary by the Executive Director.

* Collaborates with the Executive Director and professional staff to maintain data collection, progression metrics, and student learning outcomes.

* Assists the Executive Director and professional staff with implementing logistical plans to improve student persistence and progression toward completion.

* Ensures department/office spaces, centers, and equipment are maintained with adequate supplies. Conducts regular inventory, anticipates needed supplies, places orders, and verifies receipt of supplies.

* Oversees the use of department P-Cards and processes monthly reconciliation of expenditures.

* Assist the Executive Director with budget allocations for the Office of Institutional Equity, Diversity & Inclusion programs and overall operations.

* Performs other related duties as assigned.
