Lightwerks Communication Systems is Hiring a Senior Project Manager Near San Jose, CA

As the leader of project teams and our main point of contact during the implementation phase of projects, this team member is tasked with collaborating with customers and fellow team members to plan, schedule, direct, and lead the various resources needed to safely, effectively, and efficiently complete projects on time and on budget.
As a Senior member of the Project Management team, this team member will manage some of our largest and/or most complex projects, and will help the Director of Project Management (the DPM) evaluate and coach fellow members on the team.
This position affects many aspects of the company's work and will ultimately contribute to the success, or lack thereof, of projects and of LightWerks overall.
Responsibilities: The Senior Project Manager's responsibilities will include:
  • Safety at LightWerks is EVERYONE's responsibility, so in every instance where you are concerned about the safety of anyone related to our work, we need you to ALWAYS maintain a policy of "See something? Say something!"
  • Collaborating with Account Executives, Engineers, Lead Technicians, Project Coordinators, and other team members to plan out the successful execution of projects from start to finish,
  • Planning, producing, and managing the project schedule in the software specified by the current or acting Director of Project Management, being particularly mindful of the critical path and what impact any slippages will have on the costs and completion dates,
  • Scheduling and chairing internal and customer-focused project kickoff meetings within the first few days after projects are "kicked off" in our systems,
  • Ensuring that deliverables are available where, when, and how they are needed by all members of the project implementation team,
  • Participating in construction meetings and otherwise coordinating with design professionals, other trades, other project managers, and customer representatives involved in a project,
  • Understanding the amount of labor, materials, and all other resources that will be required on a project,
  • Reading contracts and understanding ALL of the requirements and risks that we will accept as part of a project,
  • Recognizing and mitigating risk throughout the life of the project,
  • Specifying long-term scheduling requirements to our PCs and working with them on any "last-minute" changes required in the next two weeks,
  • Ensuring that the Lead Technicians (or sub-contractors) executing your projects are adequately prepared for the work prior to arrival on-site, including, but not limited to:
  • Briefing the Lead Technicians and/or Superintendents on assigned jobs so they can be prepared to be immediately productive immediately on new job sites,
  • Ensuring they have had adequate time scheduled and have conducted an on-site job-walk,
  • Ensuring they have access to and have reviewed all elements of the documentation package prior,
  • Ensuring LEADs know and have committed to the schedule and budgeted hours for the phases of the project for which they are responsible, and
  • Calling out any known safety hazards and reminding LEADS of their duty to perform safety briefings to their team members, as specified by the current LightWerks Safety Plan,
  • Reading in a timely manner and understanding all documentation provided back to them from the field in the form of "dailies", messages in Basecamp, Teams, and/or via email,
  • Providing consistent weekly updates and resource requirement changes to the Project Coordinator(s) assigned to your projects,
  • Providing weekly status reports to customers Points of Contact for assigned projects,
  • Identifying opportunities for change orders, including:
  • Preparing, pricing, negotiating, submitting, and tracking them,
  • Securing WRITTEN client approval, and
  • NOT executing the work until we have received written client approval,
  • Managing various resources - including internal Team Members, subbed personnel, and all other stakeholders - to ensure a successful project,
  • Coaching less experienced Project Managers (PMs) and Project Coordinators (PCs),
  • Escalating interdepartmental and major customer issues to senior management for resolution after giving a reasonable effort to negotiate a reasonable compromise,
  • Conducting variance analyses on each labor and material category, identifying problem areas, and devising corrective action,
  • Initiating invoicing, tracking payments, and managing project financials,
  • Working to the highest professional standards in terms of timeliness, neatness, attention to detail, customer interaction, and other professional matters that reflect on the reputation of LightWerks and the quality of our work,
  • Identifying and proposing project management process improvements working in collaboration with the Director of Project Management (DPM),
  • Closing out projects in a manner that ensures quality work, while completing assigned projects on time and on budget, with excellent customer satisfaction,
  • Earning and maintaining appropriate AVIXA and project management credentials (e.g., CTS, CAPM, PMP),
  • Mastering, modeling, implementing, and improving the relevant elements of The LightWerks Way,
  • Making recommendations for the continuous improvement of the performance of our business, and
  • Consistently maintaining a positive attitude and performing as a team player on a day-to-day basis.
Time Away from Home:
  • At LightWerks, we recognize the benefits of - and fully embrace - remote work. We also understand that Team Members desire - and deserve - as much flexibility as possible given their specific job duties. The following is what this job requires, relative to:
  • Time "In the Office": This position is to be "hybrid", with the expectation that you will primarily work from home, coming to our office/warehouse location as needed for training, coordination among the PM Team, and the execution of your projects, and to job sites on certain occasions outlined in our workflow.
  • Out-of-Town Travel: This job requires modest travel (less than 35% of the time, in periods up to a week) comprised of occasional visits to remote job sites, LightWerks offices, hands-on vendor trainings, and some optional attendance at industry or other professional gatherings.
Requirements
The following skills and qualifications are required to successfully execute this job:
  • Minimum ten years of relevant hands-on construction project experience,
  • Ability to read architectural and AV system drawings,
  • Ability to forecast, track, and manage project financials,
  • Ability to perform critical thinking and problem solving,
  • Strong interpersonal skills and the ability to work with diverse groups of people,
  • Ability to maintain confidentiality,
  • Demonstrated ability to negotiate mutually favorable outcomes,
  • A strong work ethic, positive outlook, and ability to focus and complete assigned tasks,
  • Excellent written and verbal communication skills, including the ability to communicate openly and honestly at all times (see "Truth Early. Truth Always" in the "LightWerks Way"),
  • Superior customer service skills to deal with both internal and external customers,
  • Ability to manage multiple tasks simultaneously,
  • Demonstrated and/or tested proficiency in the use of personal computers including such programs as M365 Teams, Project, Word, Excel, Access, PowerPoint, and Outlook,
  • Ability to demonstrate planning, organization, and implementation skills which allow the successful completion of duties and assigned tasks by specified due dates,
  • Must be able to effectively handle stressful situations, and
  • Must possess and demonstrate excellent time management and organizational skills.
Other Requirements:
  • Standing, walking, climbing, and sitting,
  • Ability to reach, grasp, lift, and carry up to 25 pounds,
  • Un-restricted ability to climb minimum six-foot ladders,
  • Although most work is performed inside, must possess the ability to conduct occasional outside activities, which are subject to seasonal temperature fluctuations,
  • Must possess a current driver's license that is valid in all States where the Team Member may travel in the course of their duties, and
  • Ability to work in an environment with a moderate noise level.
Desired: The following skills and qualifications are desired, but not strictly required:
  • Relevant Bachelor's degree,
  • AVIXA CTS certification,
  • Certified Associate in Project Management (CAPM) certification, and
  • Project Management Professional (PMP) certification
