Executive Assistant to the Head of School – Position Description

Position Purpose: Working under the supervision of the Head of School, the full-time Assistant to Head of School oversees and manages all office procedures and other tasks as assigned by the Head of School, including, but not limited to, all tasks and functions associated with elevating the Head of School’s leadership and management of admin, board and school affairs.

Job Description: Provide support across the full spectrum of administrative tasks, including all scheduling, admin meeting attendance, visitor accommodations, travel arrangements, office needs and details, tracking and assisting with communications, setting up various board-related and special meeting preparations, and special assignments relevant to strengthening the head of school’s effectiveness in any and all aspects of his management and leadership duties, roles, and expectations.

Duties and Responsibilities:

· Maintaining confidentiality in all aspects of board, staff and school information.

· Greeting at the front reception area and escorting to any meeting location all scheduled clients, vendors, visitors, parents, prospective employees and members of the Board.

· Providing hospitality service—such as water, coffee, snacks, etc.---to any visitor and/or meeting attendee wherever/whenever instructed to do so.

= -Staying in close communication with Advancement Director, Board President, Campaign Co-Chairs, and assisting in anticipating/scheduling meetings both on and off campus relating to campaign needs.

· Performing general clerical duties, such as copying, editing, reformatting, note-taking, mailing and filing.

· Making travel and hotel arrangements, plus handling registration, for the HOS’s upcoming conferences, such as Prizmah, ISAS, NAIS, and other conferences.

· Setting up and coordinating meetings and conferences.

· Keeping closely connected with the HOS’s whereabouts and availability; contacting the HOS whenever necessary; interceding on any existing meeting—in person-- in order to keep the head apprised of upcoming commitments and contiguously-scheduled meetings.

· Staying abreast, frequently, of the HOS incoming emails, in order to alert HOS to any high priority items demanding his attention and response.

· Producing any requested charts and/or graphs of school enrollment, employee and/or financial data; creating power-point slides; editing photos for social media and other media/marketing purposes.

· Assisting in special events, such as fundraising activities, annual campaign, the gala, or school-wide events.

· Maintaining upkeep of HOS office needs—plants, waters, materials, coffee items, etc.

· Creating and modifying documents such as distribution lists, reports, letters and minutes using word processing, spreadsheets or other communications software adopted by the school, department or division.

· Conducting research, such as through ISAS databank or NAIS’s DASL information, compile data, and prepare papers for consideration and presentation by the Head of School to the admin, faculty, parents or the Board.

· Assisting the Head of School’s correspondence with school family life cycle occasions and events.

· Preparing agendas as needed for meetings

· Make arrangements as needed for staff, including for off-site meetings and travel arrangements.

· Researching, pricing and purchasing office supplies.

· Arranging for the repair and maintenance of office equipment.

· Attending administrative meetings, and any special admin staff and/or board meetings or subcommittee meetings, and keeping notes, and shaping notes to up-manage the HOS’s to-do list and priorities; compiling and transcribing meeting minutes and archiving such documentation in a timely fashion.

Job Type: Full-time

Pay: $55,000.00 - $68,300.00 per year
