Level Hotel & Furnished Suites is Hiring a Sales and Events Coordinator Near Seattle, WA

The Sales Coordinator is a critical member of the LEVEL sales team, providing support and assistance to the entire team. The coordinator supports the sales team in solicitation, qualifying, maintaining, and servicing new and existing business by performing general office duties, prepares sales-related documents throughout the sales process, promotes awareness of brand image internally and externally, gathers materials and assembles information packages, and uses sales techniques to maximize revenue while maintaining existing guest loyalty. What Will You Do?

  • Support Sales Team in solicitation, qualifying, maintaining, and servicing new and existing business for Corporate Housing, Corporate Accounts, and Event space.
  • Supports Sales Team in the execution of contracts, leases and other client agreements as assigned. Communicates all needs of accounts though resumes and email.
  • Negotiate pricing for event space, and hotel services within approved departmental booking guidelines. Communicate Event needs to all departments via resume and email communications.
  • Coordinate all details pertaining to room lists, including room types, shared rooms, room locations, handicap-accessible rooms, room billing, etc.
  • Coordinate all details to appear on each “Banquet Event Order." Details to coordinate may include meeting room set-up specifications, banquet food & beverage items, audio/visual equipment & billing details.
  • On a regular basis, distribute final Rooming Lists, Group Resumes and Banquet Event Orders to all applicable staff, including all Department Heads.
  • Maintain accurate, legible records and files consistent with established automated or manual sales system.
  • Conduct weekly resume and Event Order meetings with involved departments.
  • Support internal meeting preparation, creative projects, site inspections, VIP stays, trade shows, travel fairs, and special event invitations, etc.
  • Support Sales Team in booking reservations- tasks may include but are not limited to: Extended Stay/ Corporate Housing bookings, VIP reservation requests, rooming list and/or block changes, specialty suite bookings, etc.
  • Promote teamwork and quality service through daily communication and coordination with other departments. Key departmental contacts include all hotel departments, and residential team.
  • Interact with outside/inside contacts to ensure their total satisfaction.
  • Follow up with clients regularly during and after departure to ensure satisfaction and secure future bookings and other contacts as needed (Professional organizations, community groups, sports teams, wedding venue etc).
  • Performs other duties as required.

What You Bring. 

  • Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness, and work with minimum supervision.
  • A true desire to satisfy the needs of others and a team player in a fast-paced environment.
  • Requires ability to investigate and analyze current activities and/or information involving readily available data and indicating logical conclusions and recommendations.
  • Excellent time management and organizational skills
  • Refined verbal and written communication skills.
  • Must be able to establish professional relationships within the hotel and manage confidential information.
  • Strengths must include knowledge of Microsoft Office Tools: Outlook, PowerPoint, Excel, Word. CRM, POS, and reservation’s system knowledge are a plus.
  • Experience in Hospitality is a plus.
  • May be required to work nights, weekends, and/or holidays.
