Supervision Exercised: Supervision may be exercised over temporary support staff and student workers.
Job Summary:Performs administrative and office support activities for the Human Resources department. This position requires a total commitment to confidentiality.
Essential Duties and Responsibilities include the following. Additional related duties may be assigned.
- Professionally, positively, and discretely engages with visitors in the Human Resources (HR) office.
- Ensures the proper flow and timeliness of office correspondence for the HR team, including mail, phone calls, email, and faxes.
- Has knowledge of RVC Policies, Procedures, and Collective Bargaining Agreements (CBA) to accurately respond to inquiries from both internal and external stakeholders.
- Supports the HR team by: ordering supplies; creating purchase requisitions; reconciling monthly P-Card expenditures; making meeting, meal and travel arrangements; conducting research; monitoring budgets; tracking progress on assigned tasks; coordinating and maintaining schedules; and acting as scribe.
- Oversight of new-hire on-boarding by conducting I9 verification and ensuring that new-hires fully satisfy all pre-employment requirements such as: criminal background, professional references, drug, medical, prior employment, and education.
- Supports Academics and Workforce Development by: reviewing transcripts to ensure Faculty are placed in the correct lane/step; communicating annual salary and step increases in accordance with the Faculty Association’s CBA; and reviewing transcripts to ensure Adjuncts are placed in the correct lane/tier.
- Supports the Theater, Athletics, Student Affairs, Workforce Development and Academics departments with onboarding and exiting of volunteers, student workers, part-time instructors, and dual credit instructors.
- Maintains employee personnel files and HR filing systems (digital and printed), and meets with leaders and employees to review personnel files when appropriate. Ensures proper records retention, destruction and disposal to comply with law and policy.
- For employees ending their employment: terminates employees in HRIS; notifies HR team members and other departments that have a need-to-know; extends invitation to participate in exit interview (online or in-person); and leads retiree recognition program.
- Prepares monthly Personnel Report presented to the Board of Trustees.
- Primary point of contact to create/modify/delete HR content on RVC’s intranet (Quarry), as well as partner with the Marketing team to ensure RVC’s external website is accurate and current for HR content.
- Attends functions and meetings during times other than the normal business day, including evening/weekends, as needed.
- Regular attendance is expected.

Minimum Qualifications- Associate’s degree, a minimum of 2 years related experience, or equivalent combination of education and experience is required. Human Resources experience is preferred.
- Excellent demonstrated organizational skills.
- Advanced skills in Microsoft Office Suite software.
- Exceptional grammatical, composition and communication skills required.
