Job Overview:

We are seeking a highly organized and detail-oriented Operations & Supply Chain Logistics Specialist to join our team. The ideal candidate will play a crucial role in supporting various aspects of the supply chain, including Order Management, Shipment Assembly, Shipment Scheduling, and effective communication with Illuminate client-facing Account teams, Illuminate Project Managers, Warehouse team members, Manufacturers and manufacturer partners, Freight and LTL Carriers. The ideal candidate will play a pivotal role in streamlining these key supply chain functions to ensure the seamless flow of products from order placement to final delivery.The ideal candidate is someone who excels at taking initiative and being proactive, is continuously looking for ways to develop and improve business processes and relationships, and someone who embraces and thrives on change, and easily adapts to evolving priorities.This is a hybrid position, allowing for a combination of remote work and in-office collaboration. 

 

Initial Responsibilities:

  1. Order Management:
  • Process and manage incoming orders to ensure accuracy and timeliness.
  • Collaborate with the sales and customer service teams to address order-related inquiries.
  • Track and manage the progress of purchase orders from placement to receipt.
  • Communicate with vendors, carriers, and internal teams to ensure timely order fulfillment.
  • Monitor and update order statuses in the system.
  • Optimize shipment schedules to meet delivery deadlines and customer expectations.
  • Track and monitor shipment progress, providing regular updates to stakeholders.
  • Resolve discrepancies between purchase orders and delivered goods.
  1. Shipment Assembly & Scheduling (requires being on-site at company warehouse facility):
  • Coordinate the assembly of shipments, ensuring that all items are correctly picked, packed, and labeled.
  • Work closely with warehouse personnel to organize and streamline the shipment assembly process.
  • Schedule and coordinate shipments with Freight Carriers and LTL Carriers.
  • Optimize shipment schedules to meet delivery deadlines and customer expectations.
  • Ability to lift up to 50 lbs and be on your feet for up to 8 hours/day.
  1. Inventory Management Support:
  • Oversee and maintain accurate inventory records in collaboration with warehouse personnel.
  • Conduct regular inventory audits to identify discrepancies and implement corrective measures.
  • Optimize inventory levels to meet customer demand while minimizing carrying costs.
  1. Communication:
  • Maintain clear and effective communication with manufacturing partners and shipping carriers to ensure smooth operations.
  • Collaborate with Lamps.com team and Illuminate client-facing Account team members, Project Managers, and Warehouse Management to address logistics and order-related issues.
  • Provide timely updates on shipment and order status and potential delays.
  1. Documentation:
  • Prepare and maintain accurate documentation related to orders, shipments, and logistics processes.
  • Ensure compliance with regulatory requirements and internal policies.
  1. Problem Resolution:
  • Proactively identify and address logistics and supply chain challenges.
  • Work with cross-functional teams to resolve issues impacting order fulfillment and delivery.
  • Identify potential areas of process improvement and work with Operations and Technology teams to implement changes.
  • Assist in testing new system functionality and provide feedback to the engineering team in real time.
 

Qualifications:

  • Bachelor's Degree
  • Experience in Supply Chain Management, Logistics, Operations, Business, or a related field is ideal.
  • Strong organizational and multitasking skills.
  • Excellent organizational, multitasking, and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using relevant software and tools for order and logistics management.
