Lamar State College - Port Arthur is Hiring an Administrative assistant Near Port Arthur, TX

Job Summary

The Administrative Assistant III reports directly to the Dean of Student Services. The Administrative Assistant III provides assistance to the Dean and supports directors in other Student Services departments, including Admissions, Advising, Disability Services, Enrollment Services, Financial Aid, and Student Activities.

Assign campus parking and distribute parking tags for faculty and staff; maintain list of eligible employees and assign reserved parking spaces.

Maintain office supplies. Assist Student Services departments with requisitions, travel, receiving reports, supply ordering, and occasional correspondence.

Perform related duties as assigned. Full-time 40 hours a week job. Some evenings and weekend hours maybe required. Other duties as assigned.

Minimum of three years relevant work experience.

Must have a valid drivers’ license.

KNOWLEDGE / SKILLS / ABILITIES :

Proficient skills in using Word, Excel, Outlook, Banner, and various electronic communications.

Advanced communication skills, written and spoken.

Deal with public in a professional, courteous manner.

Understand and perform complex oral and written instructions with little or no supervision.

Work in situations that are occasionally stressful.

Perform detailed work rapidly and accurately.

Deal with students, faculty and staff in professional manner.

Work as a team member.

Demonstrate sensitivity to the needs of students from diverse backgrounds.

Plan, schedule, and manage projects and assignments.

Establish effective working relationships with others.

Work Hours 40 Hours a Week Full-time, Plus Benefits Essential Job Functions Essential Job Functions Complete general office tasks including but not limited to greeting visitors, answering phone calls, responding to department emails, distributing office mail in a timely manner.

Essential Job Functions Assist with special requests, assist students and the general public. Understand and perform complex oral and written instructions with little or no supervision.

Essential Job Functions Prepare requisitions and receiving reports and assists departments with requisitions / reports as needed.

Essential Job Functions Process hiring packets for student assistants and hourly employees, and processes paperwork following employee departure.

Essential Job Functions Process payroll and one time payments for student assistants and hourly employees. Essential Job Functions Monitor and track budgets and maintain departmental budget spreadsheets.

Essential Job Functions Manage travel requests and other out of office activities and complete the associated documents for the supervisor and department heads.

Maintain Outlook calendar and schedule appointments / meetings for supervisor. Schedule appointments and meeting on the Outlook calendar for department heads.

Schedule bi-weekly staff meetings, prepares agendas, takes minutes and submits minutes to staff and President in a timely manner.

Essential Job Functions Assist supervisor in planning and presenting projects and events. Develop and maintain spreadsheets as needed.

Prepare and update daily enrollments using Argos reports. Essential Job Functions Establish an effective working relationships with others.

Work as a team member and deal with students, faculty and staff in professional, courteous, manner. Work effectively in occasionally stressful situations.

Essential Job Functions Skilled in the use of a personal computer, and related technology. Essential Job Functions Plan, schedule, and manage projects and assignments.

Perform detailed work rapidly and accurately. Essential Job Functions Participate in campus events and / or activities. Essential Job Functions Follow established college policies and procedures.
