Lake County Public Library – Job Description

POSITION TITLE: Executive Administrative Assistant

GRADE LEVEL: C-6

SUPERVISOR’S TITLE: Director

DEPARTMENT: Administration

FLSA STATUS: Non-Exempt, Salary or Hourly


POSITION PURPOSE

Provide administrative service to the library.


POSITION ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.


ESSENTIAL FUNCTIONS

  • Take dictation, transcribe Board Meeting and other meeting minutes as assigned
  • Assist Director in communication with Board members
  • Keep Director aware of appointments and deadlines
  • Arrange conference accommodations for Director, Board members and staff
  • Maintain monthly circulation statistics and assemble the annual reports
  • Assist in providing and maintaining information as needed
  • Maintain confidential records according to library policy


OTHER RESPONSIBILITIES

  • Strong written and oral communications
  • Open mail to Director’s office and route correspondence as necessary
  • Maintain accurate and well organized filing system
  • Coordinate meetings and dinners
  • Assist with other Administration duties
  • Perform all other duties as assigned


EDUCATION AND/OR EXPERIENCE

To perform this job successfully, an individual must have the following education and/or experience:

  • High school graduate, some college preferred
  • 2 years of work experience
  • Administrative or Secretarial experience preferred
  • Typing/keyboard proficiency of 50 wpm net

  • Adaptability – Willingness to take on new challenges and responsibilities; open to change and variety within the workplace; works hard to implement successful change in areas of responsibility; recommends and implements changes to improve processes and customer service.
  • Image – Portrays a positive image of library; is a strong public ambassador and promotes library programs and services during customer interactions.
  • Technical – Proficiency in using computers and related software.
