Position: Office Admin Outline 
Job Description: Office Administrative
Location: Pompano Beach, Florida
Pay Rate: DOE
Classification: Seasonal
Summary: Hands-on work. Will work directly with the Plant Manager. Able to work in the plant environment and office settings. Knowledge of problem-solving, and time-management. Adaptability, resilience, and flexibility are recommended for this position. 
Daily Tasks and Responsibilities: 
  • Update open order shipping schedule (Monday submittal, but updated daily)
  • Sort paperwork from previous days shipping & receiving and submit shipping log
  • Submit billing from previous day
  • Send inventory report (if any) to NY Staff
  • Print & sort new orders
  • Distribute any new orders that need immediate attention. (Rush orders/Home Depot/Orders with parts in inventory that can ship same day)
  • Retrieve paperwork for order completed by molders/assembly that have been turned into a 'Done" bin or similar location to:
  • Sort out Lit shipments by carrier to get a count on total number of pieces and weights that each truck will be picking up.
  • Call Lit carriers and schedule pick-ups.
  • Fill out shipping does I BOL's
  • Close any remaining Assembly MO's associated with orders that are going out.
  • Look up each order that is shipping that day in Detail Sales" in VAI to check for any new comments and verify all items are committed to the order and left in the BO (back ordered) section. If any items are not committed, must contact office personnel in NY to commit the items.
  • Put all prepared orders in a "ready to ship" bin for the shipper to collect so that he/they can label, pro number, and scan out all shipments.
  • Work on customer routed shipments.
  • Schedule Fit "truckload" shipments.
  • Update manufacturing schedule.
  • Get rate quotes or any other miscellaneous tasks or requests.
  • Print & sort new orders (second time of the day).
  • Collect completed molding MO's & production paperwork.
  • Close out completed MO's & reprint.
  • Create any new MO's not automatically generated at managers discretion.
  • Print MO's and sort by molder.
  • Complete daily production report (Todd report).
  • Check for any late "rush" orders, and if any, print & sort (third time of the day).
  • Distribute new MO's and new orders to appropriate locations (molder bins, clipboards, etc.)
Requirements:
  • Resume & Interview
  • Must reside within the geographical area
  • Experience preferred
  • Must be able to work in a plant environment and office.
  • Physical – walking to and from plant & office, standing, bending, reaching, etc.
