JOB TITLE: Accounts Payable/Payroll Specialist

The Accounts Payable/Payroll Specialist will be primarily be responsible for accounts payable, payroll providing financial and &administrative services. Additional responsibilitiesinclude processing and monitoring payments & expenditures, preparing & monitoring the ADP payroll system. Providing these services in an effective and efficient manner will ensure that finances are accurate and up to date, employees are paid in a timely and appropriate manner and vendors and suppliers are paid within established time limits. This office based, non-remote position reports to the Corporate Controller, in close coordination with the Human Resources team.

ESSENTIAL JOB FUNCTIONS

• Perform the day-to-day processing of accounts payable transactions to ensure that municipal finances are maintained in an effective, up to date and accurate manner.
• Receive and verify invoices and requisitions for goods and services.
• Reconciles processed work by verifying entries and comparing system reports to balances.
• Verify that transactions comply with financial policies and procedures.
• Pays vendors by monitoring discount opportunities; verifying federal id numbers; Verifies vendor accounts by reconciling monthly statements and related transactions.
• Prepare batches of invoices for data entry; Data entry invoices for payment; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments.
• Maintains accounting ledgers by verifying and posting account transactions.
• Process backup reports after data entry; Record checks and prepare for mailing.
• Maintain listing of accounts payable.
• Maintain updated vendor files, file names, and W9s; Generate and administer 1099’s
• Complete payroll functions to ensure staff are paid in an accurate and timely manner. Process paperwork for new employees and enter employee information into the payroll system.
• Process forms such as W2s, W4s, insurance enrollment forms.
• Review time sheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies; Verify pay amounts, hours of work, deductions, etc.
• Issue and record adjustments to pay related to previous errors or retroactive increases.
• Data entry of payroll information; Post-payroll reporting to Accounting department and requisite vendors.
• Prepare and remit source deductions and payroll tax/state taxes.
• Record employee information, such as exemptions, transfers, and resignations, to maintain and update payroll records.
• Provide administrative support to ensure effective and efficient office operations.
• Maintain an on-line filing system for all financial documents; Ensure the confidentiality and security of all financial and employee files.
• Maintain or destroy records according to current records retention laws.
• Perform other related duties as required.

QUALIFICATIONS

• Minimum three (3) years full-time experience in payroll and/or accounts payable function required.
• Previous experience using ADP for payroll required.
• Previous experience using accounting systems (ex:QuickBooks, SAP, etc) required.
• Associates degree in accounting/bookkeeping highly preferred.

Depending on specific professional experience and geographical location of individuals, the salary for this position ranges from $33.00/hour – $41.00/hour. Additional wage/bonus/commission and benefit details will be shared during the formal interview process for this full-time employment opportunity.
