Group Reservations Coordinator - Destination Kohler 

Work Mode: Remote

Location: Kohler, WI

Opportunity

To maximize efficiency and accuracy of group booking process within DestinationKohler and Lodge Kohler. To process group rooming lists, call in groups, grouppackage code creation and implementation and other administrative tasks. Maintainprofessionalism of performance as well as the image of the Kohler HospitalityGroup by providing quality administrative support within Reservations for thebenefit of Meeting and Events and the Sales team.

Specific Responsibilities

  • Manage and maintain organization of “Rooming List” email inbox. Responding promptly.
  • Navigate through the use of a variety of tools provided to complete job tasks such as share folders and multiple email boxes.
  • Work directly with Sales clients to assist with all room block requests, changes, and assignments.
  • Maintain a professional and efficient partnership with M&E associates in order to support clients and provide prompt, seamless, luxury service.
  • Monitor room type and inventory of all groups as well as group booking cutoff dates.
  • Work closely with Sales and Revenue Management Teams on room inventory releases and oversell strategy.
  • Act as a liaison between Sales, Meeting & Events and Central Reservations team as it relates to group reservations.
  • Build all group room reservations for rooming list groups as requested by Meeting and Events Managers and Leisure Coordinators.
  • Update and make changes to rooming list reservations for groups as requested.
  • Create and set up individual call-in groups as requested by Sales Coordinators.
  • Build and create group rates for all Destination Kohler groups in the Property Management System.
  • Answer reservation calls for call in groups, booking rooms accordingly to contract guidelines.
  • Detail all reservation information provided by clients for guests arriving. (Room requests, food allergies, etc.) Note accordingly for operational use within resort.
  • Update and review all reservations for groups with repeat business – connect to personalized guest profile information for exceptional service.
  • Communicate proactively to other departments on matters of guest requests for seamless execution.
  • Review Group Resumes for accuracy of reservations including room rates, billing, and other special circumstances.
  • Use abstract reasoning to assist in complex puzzle fitting of reservations.
  • Understand and assist in oversell execution for the resort through knowledge of overall group blocks and availability for movement.
  • Attend weekly resume meetings to review all group information with associated peers and managers of various resort departments.
  • Attend Pre-Conference Meetings as needed.
  • Understand Leisure inquiry and quoting process, communicate with clients during introductory period of inquiry.
  • Understand the process of contracts and approval process. Provide consistent suggestion for process improvements. Create and maintain SOPs for role.
  • Train Central Reservationists on group call in reservations procedures using property management system.
  • Complete any additional delegated tasks appointed by Coordinators and Manager.
  • Participate in team meetings. Meet bi-weekly with Manager to discuss job performance.
  • Adhere to all grooming standards and Forbes universal standards.

Skills/Requirements

  • High School diploma or GED required, 2–4-year degree preferred.
  • 4 years of work experience within customer service, preferably in Hospitality or an administrative role
  • Proficient oral and written communication
  • Excellent interpersonal skills
  • Strong computer skills
  • Hours of Operation are Monday-Friday, 8am-7pm. Some weekends and Holidays may be required.
