Kids Above All is Hiring an Operations Manager Near Chicago, IL

We are seeking an Operations Manager for our Camp Sheliah program, located at our Higgins office.

Job Summary:Provide day-to-day leadership management and directions to Camp Sheilah Coordinator and volunteers assigned to support position while at camp/camp activities. The supervisor will provide operational oversight for planning staff; in addition, will help with planning the camp weekend and the quarterly camp activities. Major focus will be on securing contact organizations to share information about our mission and program to increase enrollment of campers/families from the surrounding neighborhoods.

Essential Functions:

  • Coordinate agencies, police departments, schools and other organizations who have individuals experiencing homicide to share information on Camp Sheilah and other services provided.
  • Assist in putting together camper profiles for each camper that will later be uploaded to Camp Minder for matched volunteers and journey leaders.
  • Prepare binders for all camp staff and camp nurses.
  • Use Camp Minder for all email communication with camper parents and volunteers.
  • Send camper and parent confirmation letter via US mail with camp packing list 30 days prior to camp date.
  • Partake in volunteer/camper matching.
  • Recruit new campers and volunteers.
  • Assist with all volunteer training sessions with Camp Manitoqua/other sites and Camp Sheialh team.
  • Attend and assist with leading volunteer trainings (usually 2-3 a year)
  • Utilize Camp Minder email for all necessary correspondence with volunteers and camp families; if phone calls or Kids Above All email is used, document information in Camp Minder for consistency.
  • Attend monthly meetings with the Camp Sheilah Planning Team.
  • Attend every other week’s calls with the Camp Director/Chief Clinical Operating Officer.
  • Provide Camp Director/Chief Clinical Operating Officer receipts for all purchases to be submitted to the Finance Department.
  • Assist in the development and/or re-writing of policies, training manuals, etc.
  • Perform administrative duties including completing reports, data entry, scheduling, etc.
  • Participate in marketing and public relation activities as needed.
  • Assist with quarterly camp activities/events.
  • Actively participate in CQI initiatives and activities
  • Assist with screening clients for initial information who are interested in therapy services beyond camp through our Counseling Solutions Therapy Program, complete enrollment form and referral logs.
  • Present suggestions to Camp Director/Chief Clinical Operating Officer ideas for ways to improve services offered and ideas for new program enhancements which would assist campers/families.
  • Other duties as assigned to fulfill the mission of the program and the agency.
  • Assist with the planning of weekend(s) of camp and quarterly family activities.
  • Plan and schedule monthly support meetings for staff. Collaborate with the Clinical Director in the development and delivery of the training needed by the team.
  • Collaborate with Managers from assigned Programs to include clinical topics in their Parent/Foster Parent/Provider meetings.
  • Complete necessary record keeping activities as required for case files, for court papers and collaborators when necessary. (While at camp, complete any adverse incident reports.)
  • Participate in performance evaluations on camp staff and/or make personnel recommendations to Director of Program.

Qualifications:

  • Minimum of bachelor’s degree in social work or similar, degree from an accredited university and at least 1-2 years recent experience in managing a program team.
  • Knowledge of trauma and bereavement.
  • Experience with camp, preferably overnight camp.
  • Excellent interpersonal skills and ability to work with all levels of staff and maintain a high level of confidentiality required; must be team-oriented; proficient with Outlook, Word and other relevant software required.
  • Must demonstrate independent and sound decision-making and judgment always maintaining what is in the best interest of Kids Above All. Must be willing to travel as needed and meet all other DCFS employment requirements.
