KANSAS BAR ASSOCIATION is Hiring an Office Services Assistant Near Topeka, KS

Job Overview:
The Kansas Bar Association (KBA) is seeking an Office Services Assistant to join our team. The Office Services Assistant supports the Executive Director and the Office Services Manager with organizing and coordinating administrative functions within the office. The Officer Services Assistant strives for operational efficiency, adherence to company policy, and continuous improvement of day-to-day operations. The ideal candidate is detail and service oriented, an enthusiastic self-starter who manages multiple projects, possesses excellent communication and interpersonal skills, and takes pride in producing a thorough and timely work product. A successful office services assistant supports the administrative functions within the office, exercises superb judgment, has a can-do attitude, and is expected to maintain the highest level of confidence when handling sensitive information.

Skills and Experience

· College degree preferred, or equivalent in relevant experience.

· Prior administrative experience is required, preferably in a professional service setting.

· Proficiency in Microsoft Office (Outlook, Teams, Excel, Word, PowerPoint, and SharePoint) and Adobe

· Operates and maintains office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.

· Excellent organizational, analytical, problem solving, communications, and interpersonal skills as evidenced by previous work history.

· Proficiency managing information and data.

General Duties and Responsibilities:

· Assists Office Services Manager with administrative duties related to maintenance, mail center, copy center, and other office functions.

· Answers phones, directs calls to appropriate individuals, and prepares messages.

· Copies, sorts, files, and downloads records related to office activities, business transactions, and other matters.

· Generates correspondence such as letters, memos, forms, and reports according to written or verbal instructions.

· Sorts incoming mail, delivers to appropriate department or individual, processes outgoing mail.

· Tracks all checks received and maintains a detailed and accurate check log for auditing purposes, routes checks to appropriate department.

· Runs office errands as needed.

· Performs general clerical duties as needed.

· Receives, processes, and schedules reservations for conference center usage and other building-related rentals.

· Prepares weekly report on overall room use.

· Prepares and configures the conference center for rental, including day-of technology needs.

· Ensures conference center technology, furniture, and other equipment are in working order.

Physical Demands

· Frequent periods of sitting, standing, or bending.

Reports to: Executive Director
Classification: Full-Time, Exempt
Salary: $38,000 – $40,000, commensurate with experience
Eligible for Remote work: No
Workplace Attire: Business Casual
Travel: Ability to travel regionally with the possibility of overnight stays.
Schedule: Monday-Friday; 8:00 – 4:30 p.m. (37.5 hours/week) with the ability to work occasional nights and weekends.
