Description

The Office Administrator is responsible for managing day-to-day administrative tasks, providing support in HR functions, handling recruitment processes, and ensuring efficient office operations. Proficiency in MS Office applications and strong organizational skills are essential for success in this role.

Requirements

Major Responsibilities:

  • Manage and organize office operations, ensuring a smooth workflow.
  • Create, edit, and format documents, reports, and presentations using MS Office applications (Word, Excel, PowerPoint).
  • Release company documents into the company document repository
  • Complete data entry for company projects
  • Handle general correspondence, emails, and phone calls, directing inquiries to the appropriate parties.
  • Coordinate and schedule meetings, appointments, team events, and travel arrangements as needed.
  • Conduct new employee orientations/onboarding and ensure compliance with HR policies and procedures.
  • Assist in screening resumes, interviews, and coordinating the hiring process.
  • Welcome and direct visitors and customers.
  • Serve as primary person that conducts visitor authorization and tracking, issuing visitor badges as needed.
  • Serve as a point of contact for internal and external communications.
  • Assist in drafting and disseminating internal announcements and memos.
  • Attend career fairs and community events.
  • Assist in maintaining office supplies and equipment inventory.
  • Purchase office supplies and other office, lab and project items upon proper approval.
  • Provide support to various departments as needed, contributing to the overall efficiency of the organization.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Minimum 2 years of experience as an Office Administrator, Administrative Assistant, or similar role.

Minimum Competencies:

  • Must maintain a high degree of confidentiality.
  • Strong computer skills including having expert level proficiency in MS Word, Excel, Outlook, and PowerPoint.
  • Problem-solving attitude.
  • Strong written and oral skills.
  • Self-directed, able to set tasks & follow through.
  • Able to multi-task in a fast-paced environment.
  • Must be able to conduct themselves in a professional business environment.

Preferred Qualifications:

  • Previous experience in light HR duties is advantageous.

Preferred Competencies:

  • Experience in AS9100.
  • Experience in ITAR/Export Control.
  • Experience with Controlled Unclassified Information.
