Our firm is seeking a dynamic, responsible, and meticulously organized individual to join our team as an Executive Assistant. In this role, you will work closely with our team of managers and directors, providing invaluable administrative support and ensuring the smooth operation of our corporate affairs. Fluency in Spanish is highly desirable for effective communication with our diverse clientele.
Responsibilities:
Facilitate Effective Communication: Act as a primary point of contact between the executive team and internal/external stakeholders, maintaining professionalism and discretion at all times.
Transcription and Documentation: Take dictation from the founder and transcribe it accurately. Prepare, edit, and format a variety of documents, ensuring precision and attention to detail.
Calendar Management: Organize and manage the executive team's calendars, scheduling meetings, appointments, and travel arrangements with efficiency and foresight.
Document Preparation: Prepare legal documents for printing, ensuring accuracy and adherence to formatting standards. Experience with QuickBooks is desired but not required.
Administrative Support: Answer phones, respond to inquiries, and provide general administrative assistance as needed to support the smooth functioning of the office.
Data Management: Enter and maintain data in Excel spreadsheets with a high level of accuracy and attention to detail.
Filing and Organization: Assist with filing and organizing documents within the office, ensuring accessibility and confidentiality as required.
Legal Document Assistance: Support the executive team with the daily preparation of legal documents, demonstrating a keen understanding of legal terminology and procedures.
