Job Opportunities is Hiring an Administrative Assistant Near River, MN

The City of Elk River is seeking an Administrative Assistant to work at the beautiful Furniture and Things Community Event Center. The Administrative Assistant performs a variety of duties including, but not limited to, scheduling, billing, event coordinating, answering and directing phone calls and email correspondence, and performing other administrative and clerical duties as assigned. 2024 pay range $27.23-$35.13.

Full-time, Monday through Friday. 8 am to 5 pm.

Minimum Qualifications include a high school diploma or equivalent; two years of related work experience including experience with Microsoft Office software, specifically Excel, Outlook, Word, and Publisher; and a Valid driver’s license and good driving record.

Essential Functions

  1. Performs receptionist and clerical duties.
    1. Answers and directs phone calls.
    2. Responds to emails sent to community event center email address.
    3. Assists Manager with monthly Commission packet preparation.
    4. Processes weekly deposits to finance division.
    5. Monitors change bag and cash handling processes.
    6. Creates directional posters for rentals.
    7. Assists with customer service associate interviews.
    8. Assists training new staff.
    9. Codes invoices to corresponding funds.
    10. Sorts and delivers mail.
    11. Accepts registrations and facility use applications.
    12. Orders, inventories, and maintains program and office supplies.
    13. Performs general filing.
    14. Types memos using word processing software.
  2. Performs registration duties.
    1. Processes class and facility registration.
    2. Processes cash and check deposits, credit card transactions, and refunds.
    3. Assigns account codes to invoices.
    4. Maintains petty cash.
    5. Runs registration deposit reports as needed.
  3. Performs facility scheduling and billing duties.
    1. Books and bills all ice, turf, and room rentals as well as assigns locker rooms and addresses special accommodation requirements for events.
    2. Maintains room rental request database for prospective clients.
    3. Follows up with events for feedback and potential future bookings.
    4. Communicates weekly scheduling notes at staff meetings highlighting special accommodation needs and event details.
    5. Serves as liaison for large event customers.
  4. Performs other essential job duties.
    1. Regular and timely work attendance.
    2. Follows all safety procedures.
    3. Participates in safety training.

Minimum Qualifications

  • High school diploma or equivalent.

  • Valid driver’s license and good driving record.

Preferred Qualifications

  • Receptionist experience.
  • General accounting experience or education.
  • Experience working in a Community Center or similar facility.
