JENSEN HUGHES is Hiring an Office Administrator Near Los Angeles, CA

Overview

Jensen Hughes is seeking an Office Administrator for our Los Angeles, CA office. This is a hybrid position working Tuesday through Thursday from 8am – 5pm in the Los Angeles office. The position provides a full range of administrative office support to our growing office.

Responsibilities

  • Front Desk Reception, including greeting guests and answering telephone calls.
  • Monitor/maintain office supplies, equipment, and services. Processing supplies orders.
  • Manage day-to-day administrative duties of the office.
  • Schedule meetings with Outlook/Teams with meeting invites and provide calendar coordination.
  • Arrange lunches and refreshments for staff & client meetings.
  • Support engineer-generated documents for formatting, sentence structure, grammar, and punctuation.
  • Copy, Scan and/or distribute reports, records and files; finalize documents, bind and distribute via mail or email.
  • Maintain, organize and update paper and/or electronic project files on a regular basis.
  • Provide project/client support as needed (proposals, project set up, ongoing project support needs along with meeting compliance requirements).
  • Interaction with staff and leadership of all levels, including from other Jensen Hughes locations.
  • Submit IT support tickets via the JIRA system for IT-related issues, access requests, etc.
  • Assist managers with the coordination of onboarding and offboarding needs of employees and interns (provisioning IT needs and office needs).
  • Provide support to the Project Administrator with project-related tasks.
  • Order Certificates of Insurance, provide W-9 forms, as needed.
  • Assist the Project Administrator with accounting related tasks and project financial tasks, (such as running reports, gathering document copies, etc.
  • Have the ability to run business-related errands, as needed.
  • Special projects as assigned.

Qualifications

  • Associates degree or requisite professional experience.
  • 4 years of experience working in an Engineering or professional services environment (preferred not required) providing administrative support.
  • Ability to be in the office Tuesday through Thursday from 8am – 5pm.
  • Excellent communication skills and history of reliability.
  • Attention to detail in written correspondence and using MS office including Teams, Word, Excel, and PowerPoint.
  • Exceptional time-management and organizational abilities.
  • Flexibility and willingness to learn and adaptable to varying situations and requirements.
  • Identify and resolve problems in a timely manner with minimal supervision.
  • Infectious positive attitude that others gravitate to or are encouraged by while in the office.
