Our Firm is currently looking for an Executive Assistant to provide a wide range of complex and proactive executive-level support to the Partners of the Firm. Independent, confident, and sound business judgement are required to plan, prioritize and organize a diversified workload in a fast-paced environment. This role will oversee the conception and execution to completion of complex business projects that will enhance the Firms posture as prominent business advisors.

Responsibilities include:

  • Work independently and with partners on broad reaching, high impact or influential projects.
  • Coordinate projects, timelines and workflows. Monitor progress and troubleshoot issues.
  • Handle client questions and requests, and work to proactively anticipate the needs of both internal and external clients.
  • Effectively manage and balance individual, management, and firm needs when determining appropriate solutions to complex problems. Monitor outcomes and reevaluate processes as needed.
  • Manage key relationships on behalf the partners; assist in relationship building both internally and externally by maintaining regular communication and timely follow up.
  • Compose, edit and proofread business correspondence and presentations.
  • Demonstrate leadership to maintain credibility, trust and support within the management team
  • Manage time and expense entry for assigned partners.
  • Maintain confidentiality and secure access to client, partner and firm information
  • Coordinate team meetings, activities and communications.
  • Complete a wide range of complex proactive administrative and operational tasks that facilitates the partner's ability to effectively lead the Firm.

The ideal candidate will be a self-driven and solutions oriented individual with a high level attention to detail, and conduct themselves with a high level of diplomacy and professionalism. They will have a bachelor's degree and a minimum of 3 to 5 years of progressively responsible experience supporting Partner level/C-suite executives in a professional office environment. A high level of confidentiality and written and oral communication skills are a must. In addition, the successful candidate will possess the following skills and attributes:

  • Ability to positively and proactively manage multiple priorities under tight deadlines and thrive in fast-pace, dynamic environment.
  • Experience in managing projects and processes effectively
  • Sound critical thinking skills and complex problem-solving abilities
  • Ability to analyze and interpret data and reporting from MS Excel, Power BI, and other sources to create high-level presentations and solutions for internal and external clients
  • Advanced knowledge of Adobe Acrobat, MS Office products, especially in MS Outlook and MS Excel skills, is a must. MS Teams experience preferred.
  • Experience working in an Accounting or Legal Services field is preferred, but not required.
  • Positive attitude and strong desire to continually support internal and external resources.
  • Excellent relationship building and communication skills, both oral and written.
  • Bachelor's degree in business, accounting, data analytics, program management, or a related program.
  • Additional work experience may be substituted for a degree
  • Must have a valid Florida Driver's License with acceptable driving record and ability to operate a motor vehicle.
