Jack Doheny is Hiring an Operations Manager Near Antioch, CA

Position Objective
This position is responsible for the overall performance of the branch location including, but not limited to service, parts, facility management, employee supervision, and fleet equipment management.
Job Responsibilities
Management:
  • Serves as team leader for the branch operating team with final authority on all branch operating decisions
  • Fosters effective and timely communication between all branch departments
  • Ensures all departments are adequately staffed with the right personnel
  • Provides management information to the senior management as it pertains to branch operations
  • Environmental stewardship is considered in all aspects of facility operations
  • Evaluates staff and complete documented performance reviews
  • Implements Performance Improvement Plans when necessary
  • Executes disciplinary action when necessary
  • Ensures facility and grounds maintenance is well kept, with consideration to seasonal changes
  • Recognizes accident prevention is equal in importance with quality, delivery and cost control and accepts the responsibility to work safely and promote safety consciousness among fellow workers.
  • Safeguards personnel through rigorous enforcement of safety procedures, training, and maintaining a continual heightened awareness of potential safety issues
  • Promotes employee development by ensuring vendor provided training is utilized where applicable
  • Maintains a clean and safe shop for employees and visitors
  • Ensures facility compliance with all applicable Federal, State and Local codes and laws
  • Uses best management practices to limit company exposure and litigation
  • Stocks and monitors shop tools and supplies when necessary
Customer Service:
  • Maintains a sense of urgency for the facility in providing timely response to customers’ issues
  • Works with lead technician on daily prioritization of jobs – getting priority jobs completed right and returned to customers
  • Reviews work in progress (WIP) report and holds weekly meetings with departments to review
  • Exhibits high responsiveness to missed customer expectations and provide timely problem resolution
  • Ensures that daily labor postings/parts postings/job costing is completed according to procedure
  • Proactively coordinates communication with customers regarding “as promised” retail service work
  • Prepares and/or coordinates quotes, bids and contracts for customers as required
  • Promotes service, maintenance, and rebuild capabilities
  • Provides solutions to customers’ problems
  • Has a complete knowledge of parts suppliers and product lines
  • Maintains high level of accuracy and completeness of repairs in accordance with JDC standards
  • Monitors work orders for qualification for Vactor FARP program
  • Follows up and collects vendor credits and allowances in a timely manner
  • Provides timely recommendations when improvements and/or repairs are needed
  • Oversees all new customer equipment with sales order to ensure accuracy of order
Fleet Management:
  • Ensures all company machinery is maintained at the branch location including preventative maintenance on all equipment
  • Ensures trade in units are evaluated and pictures are in the R-Drive
  • Oversees the proper use of the sales prep and quote forms provided by inside sales for selling equipment
  • Ensures tracking of all JDC equipment that enters or leaves branch
  • Monitors JDC vehicles for repairs and recommended replacement
  • Provides or oversees the production of part/product quotes as required
  • Reviews equipment availability report (DEA) for branch accuracy
  • Confirms vehicle preparations and deliveries are coordinated with the salesperson and customer
  • Maintains accuracy of all equipment in Baseplan
Parts Supply & Distribution:
  • Planning, organizing, administering, directing, and controlling parts distribution operations in order to assure efficient and profitable utilization of facilities, equipment and funds
  • Manage counter operations, shipping/receiving, stock keeping, physical parts stock inventories, cycle counts and merchandising/presentation of showroom
  • Review weekly stock orders and provide suggestions to any changes
  • Create 5S organization within the parts department
  • Create branch level KPI’s and set Metrics and review employee performance providing feedback and suggestions
  • Work with Inspection and truck technicians on shop priorities, and follow up on parts on hand vs parts required
  • Support rental tablet/Baseplan processing as needed, open service docs as needed
  • Work with other branches as assigned
Business Development:
  • Confirms customer satisfaction/quality control/customer follow-up is conducted
  • Facilitates customer relations by addressing all customer concerns and mediating a solution between all parties involved
  • Is capable of application solution selling or “consultative” selling of the full product line
  • Assists with customer profile(s) and daily activities in CRM when necessary
Performance Metrics:
  • Meets or exceeds revenue and gross margin YOY targets (defined by the projection model)
  • Assists in budgeting for the Branch department and reviews on a regular basis
  • Meets monthly with supervisor and branch staff to discuss progress against targets and results
  • Manages monthly equipment inventory process including timely reporting to corporate
  • Maintains an acceptable labor utilization rate for the branch
  • Evaluates cost saving measures related to facility and employee management
  • Works with management to create an annual business plan

Qualifications
  • Proficiency with Microsoft computer software programs including Word, Excel, and Power Point
  • Strong communication, interpersonal, and organizational skills
  • Must have and maintain a motor vehicle license and be insurable by our insurance company standards
  • Employee must be ready, willing and able to travel
  • Ability to adapt to a constantly changing, heavy volume work environment
  • Employee must obey the laws established in which the employee will travel or conduct business on behalf of JDC
  • Ability to maintain a high level of confidentiality, use discretion, and exercise good judgment
The individual in this position will interact regularly with employees and managers in other departments and locations at Jack Doheny Companies. Receiving and reacting to directions other than from your immediate supervisor will be required periodically. Conversely, there will also be time when the person in this position must give direction to others.
