J W Marriott is Hiring an Administrative Assistant - Capital and Engineering - Full Time Near Las Vegas, NV

Role:Data entry / dispatch / work order clerk. The list of duties and responsibilities is illustrative only of the tasks performed by this position and is not all-inclusive. Adheres to all Company, Safety and Department policies and procedures. Fosters team work and provides excellent guest service, anticipates guest needs to exceed guest expectations. SKILLS/QUALIFICATIONS:

  • High School Diploma or GED.
  • Three years’ experience in construction / engineering preferred
  • Basic knowledge of all aspects of construction preferred
  • Basic knowledge of all aspects of building maintenance preferred
  • Data Entry Skills required
  • Dispatch experience preferred
  • ADACO experience preferred and a plus.
  • Working knowledge of purchasing and invoicing required
  • Strong customer services skills required
  • Strong verbal and written communication skills required
  • Ability to communicate in English required
  • Valid in state driver license required
  • Proficient knowledge and experience using Microsoft Office applications 
  • Strong ability to excel in a dynamic environment where challenges are constant.

MAJOR JOB DUTIES: Duties include, and are not limited, to the following:

  • Ordering materials and following up on orders.
  • Work with Vendors to achieve the best pricing for material quotes and follow up to ensure timely delivery
  • Creating requisitions and purchase orders in ADACO.
  • Receive products, inventory, check against purchase order, and enter information in ADACO. 
  • Prepare and issue purchase orders based on the most accurate information (quantity, price, timeline, order units) in regards to production needs and schedules, and forward to suppliers in order to confirm availability and delivery dates.
  • Setting appointments for Director and Managers 
  • Data entry on charts, spreadsheets and other correspondence
  • Dispatch, answer phones, take work order requests, create work orders, ensure calls go to appropriate engineer, log each event and follow-up
  • Ensure that received quantities correspond with ordered quantities and manage variances with direct property support personnel.
  • Communicate and coordinate Construction Documents for review including Project RFIs, Submittals, Drawings, etc. 
  • Attend project meetings and weekly conference calls and compile meeting minutes for distribution.
  • Process approvals for invoices

When on the casino floor, the noise level increases to loud. A casino environment typically allows smoking.

  • Interacts with management, applicants, fellow Associates and/or guests maintains professional relationships.
  • Ability to verbally communicate effectively with guests and coworkers
  • Requires prolonged sitting or standing and mobility.
  • Requires bending and reaching. 
  • Requires transporting, pushing, pulling, and maneuvering items weighing up to 40 pounds.
  • Requires lifting items weighing up to 40 pounds.
  • Requires eye/hand coordination.
  • Ability to use computer to perform a variety of tasks
  • Requires both mathematical & analytical skills.
  • Requires the ability to distinguish letters, numbers and symbols.
  • Ability to and comply with Policies and Procedures, Job Description, daily memorandums, chemical labels (MSDS) and other instructions
