Description

Essential Functions

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Utilize firm determined processes and procedures to ensure all the time and materials are recorded, project work and type are tracked, and project instructions and client interactions are fully documented
  • Occasional client interaction and responsibility
  • Providing high-level executive support to assigned division and leadership team
  • Managing day to day business activities of the assigned division and its leadership team (Managers through Partners)
  • Maintaining file management and organization
  • Preparing Word, Excel, PowerPoint presentation materials, meeting agendas, business reporting, engagement proposals, etc.
  • Managing Partners’ schedules and calendars to ensure appropriate prioritization of obligations 
  • Screening assigned division’s and leadership team’s correspondence/communications
  • Prioritizing and handling internal and external correspondence for the assigned division and leadership team
  • Responsible for handling event coordination and logistics - virtual and in-person – and resolving any issues with events
  • Perform ad hoc requests/tasks on a daily basis
  • Apply and share knowledge obtained on work processes, resources, structure and business of the firm/service line/functional group
  • While following firm branding and engagement polices, manage administrative aspects of client engagements
  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company
  • Ability to exercise independent judgment and operate with minimal oversight
  • Participate in firm and departmental initiatives
  • Firm wide administrative backup support as needed
  • Regular and timely attendance

Requirements

Required Competencies

Execution - Careful attention to detail, mindful of deadlines, clarity of thought in work papers

Subject Matter Expert - Demonstrates understanding of subject matter and seeks to increase knowledge (due date tracking, e-signatures, etc)

Technical Skills - Thorough understanding of MS Office 365 and business from an administrative position to assist Partners, Principals, and Senior Managers with client service management

Communication Skills - Communicates clearly with clients and JTaylor personnel

Problem Solving - Demonstrates critical thinking skills, creativity in thought, addresses questions with a concise answer, seeks alternatives

Cultivation of Relationships - Seeks to develop and strengthen client relationships, develops and strengthens internal relationships

Intuition - Demonstrates the ability to provide quick and ready insight, leverages previous experience and education to answer questions

Initiative - Is a self-starter, actively looks for additional work, can function independently as appropriate

Self-Awareness - Mindful of their own strengths and weaknesses and how to best utilize these in a team environment

Supervisory Responsibilities

This position has no supervisory responsibilities.

Required Qualifications

Bachelor’s Degree preferred

GPA of 3.0 or higher

Experience in professional services or similar environment

Ability to establish priorities and perform work in a timely manner

Effective oral and written communication skills

Proficient in Microsoft Office products (Excel, Word, Outlook)

Work Environment

This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Position Type

This is a full-time position. Our standard business hours are 8:00 a.m. to 5:00 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 4:00 p.m. Overtime and weekend hours will be required during peak busy seasons.

Travel

Local Travel may be required on occasion. 

Same-day travel for work at client’s offices, meetings, and seminars which requires use of a personal vehicle.
